Aquatech Management of Long Island is an established commercial swimming pool management, maintenance, repair, installation, and renovation company serving condominium, HOA, and community facilities throughout Long Island.
We are hiring a Maintenance Operations Coordinator to help manage the daily activities of our maintenance and repair department. This is a newly created, long-term position intended for someone who wants to learn the business, assume increasing responsibility, and help build a more organized and efficient field operation.
Position Summary
The Maintenance Operations Coordinator will work directly with company ownership during an extensive training period and gradually assume responsibility for scheduling, crew coordination, customer communication, work-order follow-up, and seasonal project planning.
The position combines office-based scheduling and coordination with regular communication with field employees and occasional visits to customer facilities. It is not a strictly administrative or data-entry position.
The successful candidate will become the primary coordinator for Aquatech’s maintenance and repair teams and will help ensure that employees are properly scheduled, prepared, informed, and supported.
Aquatech is hiring for this position before its busiest season so the selected candidate has time to learn the operation, work directly with ownership, coordinate the pool-closing season, and participate in fall and winter projects before assuming greater responsibility during the following spring and summer.
Primary Responsibilities

Create, maintain, and update recurring maintenance and service schedules in BuildOps.

Coordinate daily assignments for maintenance technicians, repair technicians, helpers, and service crews.

Adjust schedules when employees call out, jobs change, or emergency work is added.

Assign and reassign helpers based on employee availability, experience, and workload.

Coordinate seasonal Saturday staffing and employee availability.

Communicate schedules, changes, job instructions, and priorities to field employees.

Confirm service dates and scheduling changes with customers and property managers.

Review open work orders and follow up on incomplete work.

Schedule return visits and confirm that unresolved issues are addressed.

Help ensure crews have the correct materials, equipment, access information, and job instructions.

Track the progress of pool openings, pool closings, repairs, installations, and renovation projects.

Coordinate the commercial pool-closing schedule during the fall.

Assist with planning and coordinating off-season repairs and renovation projects.

Monitor employee notes, photographs, and work-order documentation.

Identify scheduling conflicts, missing information, and operational problems before they affect the customer.

Visit customer facilities when necessary to understand the work being performed and support field coordination.

Help document recurring procedures, facility information, and employee capabilities.

Maintain clear communication between company ownership, office staff, field employees, customers, vendors, and subcontractors.

Escalate major technical, safety, customer, or financial issues to company ownership.

Assume increasing responsibility for the daily operation of the maintenance and repair department as training progresses.
Required Qualifications

Prior experience coordinating employees, service technicians, construction crews, maintenance teams, routes, projects, or customer appointments.

Strong organizational and scheduling skills.

Ability to adjust plans quickly when employees call out or priorities change.

Strong written and verbal communication.

Confidence communicating assignments and expectations to field employees.

Ability to manage several jobs, deadlines, and priorities at the same time.

Strong follow-through and attention to detail.

Good judgment and the ability to determine when a problem requires escalation.

Comfortable learning scheduling, dispatching, and work-order software.

Willingness to learn commercial pool maintenance, repair, and renovation operations.

Willingness to visit job sites and work around mechanical equipment and swimming pool chemicals.

Valid driver’s license and acceptable driving record.

Ability to travel throughout Nassau and Suffolk Counties.

Ability to work independently after completing the initial training period.
