Position Overview
A large waterfront residential condominium property in Weehawken, NJ is seeking a Property Assistant to support the operational management of the property, during a temporary coverage period related to an upcoming maternity leave.
The role works closely with the Property Manager, Board of Directors, and building staff to support the day-to-day operational and administrative management of the property.
Responsibilities span several core areas of residential property operations, including building operations, capital projects and improvement initiatives, resident operations and coordination, and operational improvement efforts. The role supports the day-to-day functioning of the property while also assisting with coordination of larger building initiatives and helping improve operational processes and systems over time.
Due to the building’s waterfront pier location, capital and improvement projects often involve complex planning, coordination, and execution across multiple vendors, engineers, and contractors.
The role also offers an opportunity to help improve and modernize operational processes, including identifying ways to leverage technology, automation, and AI tools to increase efficiency and strengthen operational best practices.
This role is ideal for a recent graduate interested in real estate operations, property management, construction management, or operations, particularly someone who enjoys solving operational challenges and improving systems.
Key Responsibilities
Building Operations
● Support day-to-day building operations in coordination with the Property Manager, Assistant Property Manager, and building staff
● Monitor and coordinate operational requests across the property, including maintenance work orders, janitorial schedules, and resident or Board service requests, ensuring items are properly logged, assigned, and followed through to completion
● Coordinate building activities including move-ins, move-outs, deliveries, and contractor access
● Assist in identifying and coordinating resolution of operational issues within the property, working cross-functionally with building staff, vendors, and management as needed
Capital Projects & Building Improvements
● Support coordination and internal oversight of building capital projects and improvement initiatives, working with vendors, engineers, contractors, and consultants supporting the property
● Track project timelines, milestones, proposals, and scopes of work, maintaining visibility into project status and helping ensure initiatives remain on schedule
● Monitor project progress and help identify and escalate potential risks, delays, or operational impacts, preparing project updates and summaries for management and Board review
● Assist with project logistics and coordination, including vendor access, scheduling, and communication when building operations or residents may be affected
Resident Operations & Coordination
● Support resident communications and inquiries in coordination with management, including tracking resident requests and service tickets, ensuring items are properly logged, monitored, and escalated as needed
● Coordinate building activities including resident move-ins, move-outs, deliveries, and contractor or vendor access, ensuring building procedures and scheduling requirements are followed
● Maintain resident records and operational information within BuildingLink and other building management systems
● Assist with preparing and distributing building notices, operational updates, and resident communications, and support planning and coordination of community and social events
Operational Improvements & Technology Initiatives
● Identify opportunities to improve operational workflows and administrative processes across building operations
● Support initiatives that leverage technology, automation, and AI tools to streamline operations and reduce manual processes
● Assist with implementing and improving operational systems and workflows used to track service requests, building activities, and operational performance
Qualifications
● Bachelor's degree and 0–2 years of professional experience.
● Candidates may come from a variety of disciplines, including:

○ or a related field
● Strong organizational and administrative skills
● Professional written and verbal communication skills
● Ability to manage multiple tasks and follow through on operational details
● Interest in real estate operations, property management, or building systems
● Strong problem-solving mindset and interest in improving operational processes
Preferred / Nice-to-Have Skills
● Internship or coursework related to real estate, construction, or operations
● Familiarity with property management or workflow platforms
● Exposure to systems such as BuildingLink, HubSpot, Monday.com, or similar operational tools
● Interest in technology, automation, or AI tools that support operational efficiency

Additional Information
● Expected compensation range: $55,000–$65,000 annually, depending on experience and qualifications.
● Benefits may include health insurance, paid time off, holidays, and other benefits offered by the Association.
● The position is expected to begin immediately.
● The position is expected to last approximately 12 months; however, employment is at-will and the duration may be adjusted based on operational needs and staffing requirements.
● This is an on-site position based at the property in Weehawken, New Jersey.
● Physical Requirements - This position requires regular movement throughout a large residential condominium property, including walking throughout common areas, climbing stairs, and accessing maintenance, mechanical, and construction work areas as needed to support building operations and capital projects.
