Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role involves providing exceptional customer service, managing administrative tasks, and ensuring the smooth functioning of daily office activities. Bilingual proficiency is a plus, as well as experience in the construction industry, filing documents, and calendar management. The successful candidate will be a proactive team player capable of handling multiple responsibilities efficiently in a fast-paced environment.
Duties
- Manage Accounting Department operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Schedule appointments, manage calendars, and coordinate meetings
- Handle customer support inquiries via phone, email, or in person, providing excellent service and support
- Assist with bookkeeping tasks using QuickBooks or similar software as needed
- Support personal assistant duties such as calendar management and travel arrangements
- Perform clerical duties, including typing, document preparation, and record keeping with strong organizational skills
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry and office management
- Excellent organizational skills with the ability to multitask effectively
- Exceptional communication skills, including phone etiquette and customer service expertise
- Bilingual abilities are preferred to serve diverse client needs effectively
- Prior clerical or administrative experience in an office setting is highly desirable
- Ability to handle confidential information discreetly and professionally
- Strong proofreading skills to ensure accuracy of documents and correspondence
- Time management skills to prioritize tasks efficiently in a dynamic environment
- Personal assistant experience or familiarity with calendar management enhances suitability for this role
