Position Summary
The Administrative Assistant plays a vital role in advancing the mission of the United Way of Cumberland County by keeping our office running smoothly and our donor and program data accurate and up to date. This position provides day-to-day administrative support to the Executive Director and staff, serves as a key administrator of the organization's donor, campaign, and Dolly Parton Imagination Library database, and supports basic financial processing such as deposits and contribution posting.
The ideal candidate is highly organized, detail-oriented, and comfortable moving between office administration, data entry, and light bookkeeping tasks. Confidentiality, accuracy, and a genuine commitment to the organization's mission are essential.
Key Responsibilities
Administrative & Office Support
- Provide day-to-day administrative support to the Executive Director and overall operation.
- Maintain organized electronic and physical filing systems.
- Assist with correspondence, document preparation, and internal communications.
- Coordinate incoming documentation and ensure proper record management.
- Assist with donor thank-you letters and other donor correspondence.
- Support general office operations, supply organization, and day-to-day efficiency.
- Assist with planning and set-up for organizational events, such as the United Way Open House, as needed.
- Complete other administrative tasks as requested by the Executive Director.
Database & CRM Management
- Serve as a primary administrator for our Database and CRM.
- Manage donor, campaign, and pledge data entry, updates, and maintenance.
- Support administration of the Dolly Parton Imagination Library program for Cumberland County, including enrolling children, updating addresses, and communicating with parents as needed.
- Ensure data accuracy, integrity, and completeness across all records.
- Generate reports, dashboards, and donor summaries to support decision-making.
- Identify and resolve data discrepancies and system issues.
- Support campaign teams with data needs, reporting, and tracking.
Light Accounting & Financial Processing
- Prepare and process deposits accurately and in a timely manner.
- Post contributions, pledge payments, and campaign revenue.
- Maintain detailed financial records and supporting documentation.
- Assist with account reconciliations and financial tracking.
- Partner with leadership to ensure alignment between database and financial records.
Reporting, Compliance & Audit Support
- Generate regular financial and campaign reports.
- Assist in audit preparation and documentation.
- Ensure compliance with organizational policies and procedures.
- Maintain strict confidentiality of donor and financial information.
Operations & Administrative Support

Qualifications
- High school diploma required; associate or bachelor’s degree preferred
- Experience in database management, accounting support, or administrative operations
- Proficiency in Microsoft Office, especially Excel
- Experience with CRM systems
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- High level of integrity and ability to handle confidential information

Pay: $15.50 - $18.50 per hour
