Construction Licensing and Permits Coordinator

We are seeking a highly organized and detail-oriented Construction License & Permit Coordinator to manage contractor licensing, permit administration, and regulatory compliance for HVAC, Plumbing, and Electrical operations. This position plays a critical role in ensuring our company maintains all required licenses and secures permits in a timely manner to support successful project execution.
The ideal candidate has experience working within the construction industry, understands licensing requirements across multiple jurisdictions, and is comfortable coordinating with municipalities, inspectors, project managers, and field personnel.
Key Responsibilities
Licensing Administration
- Manage and maintain company contractor licenses for HVAC, Plumbing, and Electrical trades.
- Prepare, submit, and renew state and local contractor licenses.
- Track renewal dates, continuing education requirements, insurance certificates, and other compliance documentation.
- Maintain accurate licensing records and spreadsheets.
- Research licensing requirements for new jurisdictions as the company expands.
- Coordinate with licensing boards and regulatory agencies regarding applications, renewals, and compliance issues.
Permit Coordination
- Prepare, submit, and obtain construction permits for commercial projects.
- Coordinate with local municipalities and permitting agencies.
- Track permit status and communicate updates to team.
- Schedule all online inspections and assist with inspection documentation.
- Ensure permits are closed out appropriately upon project completion.
Administrative Support
- Maintain organized project files.
- Assist project managers with permit documentation and compliance requirements.
- Monitor changing regulations affecting contractor licensing and permitting.
- Provide exceptional customer service when interacting with municipalities, inspectors, and internal teams.
Qualifications
- Associate's or Bachelor's degree preferred, high school diploma required
- 2+ years of experience in construction administration, licensing, permitting, or project coordination.
- Knowledge of HVAC, Plumbing, and Electrical licensing requirements preferred.
- Experience working with municipal permitting processes.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word).
- Ability to manage multiple deadlines while maintaining a high level of accuracy.
- Experience working with multi-state licensing.
- Familiarity with contractor compliance requirements.
- Experience coordinating inspections and interacting with building departments.
- Must pass a criminal background check.
- Must be willing and able to pass a drug test.
