This position is responsible for:
Under the general supervision of the Corps Officer, the Office Administrator is responsible for the ensuring the smooth operation of the office by performing administrative and clerical functions to support the Corps Officer(s). He/she creates, processes and maintains a wide variety of documents, reports and files; orders office supplies; responds to emails, processes incoming and outgoing mail; maintains the office calendar and ensures office equipment is operating, in good repair, contacting vendors when maintenance is required. The incumbent may answer the phone, greet and direct visitors/clients to the appropriate department or staff in the absence of the Receptionist.
The incumbent is responsible for performing receivable and payable functions ensuring information is submitted to the regional accounting department in a timely manner; researching and reconciling accounts and the monthly bank statement; compiling data and generating reports.
The incumbent coordinates and supports volunteer management functions, including the planning, organization, and execution of office and seasonal activities and events such as Christmas Kettles, camp, Thanksgiving, and other corps programs.
Key Responsibilities:
- Performs a wide variety of administrative and clerical functions to ensure the accomplishment of the various office tasks in the most efficient and effective manner possible; cross-trains and supports all office assignments concentrating on targeted deadlines and quality standards; prepares various comprehensive reports and statistical records reflecting the office operations.
- Utilizing the established TSA Volunteer program develop and implement a recruiting strategy for attracting volunteers for ongoing Corps events and programs, Canteen operations, and Seasonal/Christmas events to include Red Kettle Campaign and Angel Tree Programs.
- Prepare and scan one or more of the following financial documents to regional accounting: invoices, billings, purchase orders, requisitions, checks, check requests, tax reports, payments and/or deposits; reviews and verifies the same for accuracy and completeness.
- Oversee the administration of a donor mailing list with respect to the privacy and confidentiality of donor information; recording of all gifts and donor interactions in a timely and proper manner; coordinates in-kind donations and make decisions regarding the issuing of receipts. Prepares tax receipt letters; assists in compiling the Annual Report and other locally printed materials; maintains and updates website and social media accounts.
- Greet and assist employees and people from outside The Salvation Army; provides accurate and complete information regarding the office operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
Physical Requirements and Working Conditions:
- Ability to meet attendance requirements. Ability to read, write, and communicate the English language. Ability to concentrate and pay close attention to detail for extended periods of time when reading and preparing reports or resolving operational problems. Ability to lift and move office equipment (up to 50lbs.).
- Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.

Minimum Qualifications:
-
Bachelor’s degree from an accredited college or university in Business Administration, Accounting or a related field AND
- Two years progressively responsible administrative experience,; OR
- Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Licenses and Certifications:
Valid State Driver’s License.
