SUMMARY
The HR & Office Coordinator plays a dual role supporting both administrative office operations and core human resources functions at a newly acquired manufacturing facility. This position is critical in helping establish organized processes, delivering a positive employee experience, and ensuring smooth day-to-day operations as the foundry undergoes transformation and integration.
This role requires a highly organized, detail-oriented individual who can manage multiple priorities, maintain confidentiality, and support both employees and leadership in a fast-paced environment.
Key Responsibilities
- Promotes the culture, the mission and vision, and the core values of the company. This includes adherence to and promotion of the company safety beliefs, employee engagement, competencies, code of conduct, and other policies and procedures.
Human Resources Support
- Assist with full-cycle onboarding, including:
- Preparing new hire paperwork, personnel files, and welcome materials
- Scheduling orientations and coordinating first-day logistics
- Supporting completion of I-9 and onboarding requirements
- Maintain accurate and confidential employee records (personnel, medical, compliance files)
- Serve as a point of contact for employees' questions related to policies, procedures, and HR programs.
- Support recruiting and hiring processes (job postings, interview coordination, candidate communication)
- Assist with compliance tracking, reporting, and documentation (I-9s, audits, MVR, etc.)
- Coordinate employee programs such as:
- Service awards and recognition.
- Employee events and engagement initiatives
- Support training coordination, benefits enrollment assistance, and internal HR communications.
Office Administration
- Provide front office support, including answering phones, greeting visitors, and managing general inquiries.
- Maintain office organization, supplies, and shared spaces.
- Assist with scheduling meetings, conference rooms, and plant tours.
- Support leadership with administrative tasks (calendars, reports, correspondence)
- Coordinate mail, packages, internal communications, and services (cleaning, vending, etc).
- Assist with facility-related coordination (badges, access, uniforms, workspace setup, ordering shop supplies, submit purchase order requisitions)
Foundry Transition & Operational Support
- Help establish and standardize office and HR processes in a newly integrated facility.
- Support change management initiatives and employee communications during transition.
- Assist with documentation, tracking, and reporting related to integration efforts.
- Partner with HR and operations leadership to ensure a consistent employee experience across locations.

Education & Experience
- Associate or bachelor's degree in human resources, Business Administration, or related field preferred.
- 1-3 years of administrative, office, or HR support experience preferred.
- Experience in a manufacturing or industrial environment is a plus.
Skills & Competencies
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Ability to handle confidential information and professionalism.
- Strong interpersonal and communication skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with HR systems preferred.
