Job Overview
The Office Assistant supports daily operations within a roofing company by managing office tasks, customer communications, scheduling, and job documentation. This role is essential to keeping field crews, sales teams, and management organized and informed. The ideal candidate is detail‑oriented, adaptable, and comfortable working in a fast‑paced construction environment.
Duties
Office & Administrative Support
- Manage incoming calls, emails, and customer inquiries, ensuring timely and professional responses.
- Prepare, format, and maintain roofing job files, contracts, proposals, warranties, and inspection reports.
- Assist with data entry into roofing software as needed.
- Maintain organized digital and physical filing systems.
- Data entry work
- Performing clerical tasks, such as sorting and sending mail and email.
- Order office supplies and materials as needed.
- Organizing and distributing Pro Com apparel.
- Other duties may be assigned as needed at the discretion of management
Scheduling & Coordination
- Schedule estimates, inspections, repairs, installs, and follow‑up appointments.
- Coordinate daily and weekly schedules for roofing crews and subcontractors.
- Track job progress and communicate updates to customers and team members.
Customer Service
- Greet visitors and customers; provide positive and professional office experience.
- Support customers through the project from first contact to job completion.
- Manage warranty requests, service calls, and post‑installation follow‑ups.
Documentation & Compliance
- Assist with pulling permits, submitting documentation, and tracking approvals.
- Ensure all job paperwork is complete, accurate, and compliant with company standards.
- Help prepare insurance documents, supplements, and photos for claims jobs.
Financial & Reporting Support
- Assist with invoicing, payment processing, and account tracking.
- Maintain spreadsheets, reports, and administrative logs for management.
- Filing documents and payments in the project folders.
Requirements
- Proven office experience with strong clerical and administrative skills.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Exceptional phone etiquette skills with experience managing multi-line phone systems.
- High school degree or equivalent
- Must possess proficient computer skills with knowledge of MS Office (Word & Excel) and email correspondence
- Must have a positive Customer Service approach when interacting with internal and external customers.
- Must be flexible.
- Experience in an office setting.
- Excellent oral and written communication skills.
- Good time management and organizational skills.
- Must be detail oriented.
- Proficiency with basic accounting and office procedures.
- Knowledge of standard office equipment.
Pay: $18.00 per hour
