The Logistics Coordinator and Scheduler is responsible for maintaining a detailed, forward-looking schedule for the movement of company-owned cranes, crane components, counterweights, attachments, and support equipment using company-owned trucks and trailers. This position plans equipment movements at least one week in advance by gathering job information, determining transportation and trailer requirements, anticipating permitting needs, and identifying potential conflicts before they affect operations.The role also provides administrative support related to payroll, timecard approvals, per diem, billing, job documentation, and recordkeeping.Key ResponsibilitiesLogistics Planning and Scheduling
- Maintain and continuously update a logistics schedule extending a minimum of one week ahead.
- Review upcoming mobilizations, demobilizations, equipment transfers, and yard movements to determine transportation requirements.
- Gather and verify job information, including origin, destination, timing, equipment requirements, site access, and restrictions.
- Identify missing information, scheduling conflicts, trailer shortages, and permit lead-time issues in advance.
- Coordinate upcoming logistics needs and communicate unresolved issues to management.
Equipment Movement and Load Planning
- Determine appropriate truck and trailer combinations based on load dimensions, weight, configuration, site access, and loading requirements.
- Maintain working knowledge of lowboy, detachable gooseneck, flatbed, step-deck, and other heavy-haul trailer configurations.
- Understand how crane components and support equipment should be distributed across available trailers.
- Estimate truckload requirements and consider trailer capacity, axle loading, deck space, load dimensions, and transportation restrictions.
- Track truck and trailer availability and identify equipment conflicts before scheduled moves.
Permitting and Transportation Requirements
- Identify loads requiring oversize, overweight, or other transportation permits.
- Gather accurate dimensions, weights, axle information, trailer configurations, routes, and travel dates needed for permit applications.
- Coordinate permit applications directly or with permit service providers.
- Anticipate permit lead times and identify requirements such as pilot cars, escorts, restricted travel times, curfews, or route limitations.
- Review permits for accuracy and maintain organized permit records.
Administrative Responsibilities
- Review and approve employee timecards for accuracy, including job numbers, cost codes, hours, overtime, travel time, and other applicable pay categories.
- Follow up on missing or inaccurate time entries and coordinate payroll corrections.
- Track and process employee per diem based on assignments, dates, eligibility, and company policy.
- Review job documentation and billing support, including field tickets, trucking records, equipment usage, purchase orders, mobilization, demobilization, and other applicable charges.
- Maintain accurate electronic and physical records related to schedules, permits, timecards, payroll, per diem, billing, and job documentation.
- Prepare spreadsheets, tracking logs, and reports as requested by management.
- Maintain confidentiality of employee, payroll, customer, and company information.
Qualifications
- Experience in heavy equipment transportation, crane logistics, heavy haul, trucking coordination, construction logistics, or equipment scheduling preferred.
- Working knowledge of lowboy, flatbed, step-deck, detachable gooseneck, and other heavy-haul trailer configurations.
- Understanding of load planning, equipment dimensions and weights, axle considerations, and oversize/overweight permitting.
- Strong forward-planning, organizational, and information-gathering skills.
- Experience with timecard review, payroll support, billing documentation, or per diem administration preferred.
- Strong attention to detail and numerical accuracy.
- Proficiency with Microsoft Outlook, Excel, scheduling software, payroll systems, accounting systems, or related operational platforms.
- Ability to manage changing priorities while maintaining visibility of future logistics needs and administrative deadlines.
Pay: $22.00 - $25.00 per hour
