SUMMARY
The Human Resources Coordinator provides administrative and operational support for the Firm’s Human Resources function, with a primary focus on recruiting and talent acquisition activities. This role assists with a broad range of HR processes and initiatives, including onboarding, HR data and spreadsheet management, employee records, and department projects. The coordinator works as part of a collaborative HR team and serves as an important day-to-day resource for staff employees across the firm.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
RECRUITING
- Maintain and update job descriptions and post positions through the firm’s Applicant Tracking System (ATS) and external recruiting platforms.
- Coordinate interview schedules, candidate communication and logistics for in-person and virtual interviews.
- Assist with the recruitment of entry-level and junior staff positions
- Conduct reference and background checks and ensure all required documentation is completed.
- Maintain accurate and up to date candidate records in the ATS, ensuring data integrity across all active positions.
- Update and maintain applicant records and recruiting reports to support the HR team’s tracking and reporting needs.
PARALEGAL RECRUITING
- Support the recruiting process for paralegal positions, including posting positions, reviewing applications and conducting initial candidate phone screens.
- Coordinate the logistics for all call-back interviews, ensuring that all interviewers have the required documentation and materials.
- Maintain paralegal applicant records and recruiting activity reports.
EMPLOYEE ONBOARDING
- Assist in drafting new hire offer letters.
- Coordinate pre-employment activities for staff hire, including initiating background checks, and collecting new hire paperwork through the applicant tracking system.
- Serve as a welcoming point of contact for new employees. Coordinate the orientation for all new hires; including facilitating the arranging of new hire training.
Human Resources Administration
- Maintain electronic employee files and other records in accordance with Firm policies.
- Update and maintain reports, spreadsheets, and other HR- related documentation on a regular and ad-hoc basis.
- Provide general administrative support and assistance on a variety of projects and initiatives.
In addition, responsibilities related to maintaining firm and client information are to be adhered to by all employees. This includes complying with the firm’s information security policies, protecting firm assets from unauthorized access, disclosure, modification, destruction or interference, and reporting security events or potential events or other security risks to management.
QUALIFICATIONS
- Excellent written and verbal communication and interpersonal skills.
- Strong organizational skills with exceptional attention to detail.
- Must be proficient in MS Office, strong Excel skills and Word proficiency are expected.
- Good judgement and discretion in handling sensitive and confidential information.
- Collaborative, team-oriented working style with a proactive, service oriented approach.
EDUCATION and/or EXPERIENCE
- A bachelor's degree required.
- A minimum of one year of Human Resources, recruiting or related administrative experience.
- Experience in a law firm or professional services environment is a plus.
- Familiarity with an applicant tracking system such as Taleo is a plus.

COMPENSATION
The base salary range offered for this role will be between $65,000 and $75,000. When determining a candidate’s compensation offer, elements unique to each person are taken into consideration including but not limited to skill set, experience level, performance, professional certifications, degrees and location, as well as the needs of the Firm. The total compensation package for this position may include overtime pay, discretionary bonuses and other benefits.
