Job Title: Office Administrator
Location: Ft. Myers, FL
Position Summary: We are seeking a highly motivated, organized, and dependable Administrative Assistant to join our road and bridge construction team. This position is ideal for a self-starter who takes initiative, anticipates needs, and thrives in a fast-paced construction environment. The successful candidate will be responsible for supporting daily office operations, tracking projects and documentation, reconciling invoices, and ensuring accurate recordkeeping.
Key Responsibilities
- Track subcontractor/vendor invoices.
- Maintain project records, job tracking logs, and documentation.
- Create and manage spreadsheets using Microsoft Excel, including formulas, tracking reports, and data analysis.
- Maintain multiple calendars.
- Schedule interviews.
- Assist with accounts payable and accounts receivable functions- reconcile invoices.
- Track subcontractor documentation, purchase orders, change orders, and project-related paperwork.
- Coordinate with project managers and office staff to ensure timely communication and document flow.
- Answer phones, manage correspondence, and provide general administrative support.
- Maintain organized filing systems, both electronic and paper.
- Assist with payroll documentation, timesheet collection, and other office duties as needed.
- Ensure deadlines are met while maintaining a high level of accuracy and attention to detail.

Qualifications
- Previous administrative experience, preferably in construction, road and bridge, or a related industry.
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
- Experience with invoicing, tracking reports, and data management.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple tasks in a deadline-driven environment.
- Dependable, professional, and able to maintain confidentiality.
