The Job
We’re seeking a highly detail-oriented Production Manager with exceptional proofreading skills to serve as the final set of eyes on direct mail fundraising campaigns (print, color, and personalization proofs) before they are mailed. This role owns quality control, catching last-minute errors in personalization, coding, copy, and design before they reach members and donors, and services as the primary project manager for a select group of client campaigns.
This is an ideal opportunity for someone who takes pride in precision: who reads every proof twice, catches what everyone else missed, and treats accuracy as non-negotiable. Experience with direct mail printing is a plus, but strong proofreading instincts, attention to detail, and comfort being the final reviewer matter most.
What You’ll Do
Production (75%)
- Serve as the final proofreader and quality-control checkpoint for projects in production with print vendors, including checking printer proofs, reviewing audits for accurate personalization and coding, and other highly detailed items
- Ensure print specifications align with client budget
- Flag any risks or needed adjustments to the Client Services team and troubleshoot with vendors
- Collaborate with list services team to provide accurate quantities for print ordering
- Create clear, detailed, and accurate purchase orders or all print and lettershop orders
- Monitor status of projects currently in production and provide timely activity reports to the Client Services team
- Ensure all deliverables meet company and client quality standards and comply with United States Postal Service (USPS) regulations
- Request postage funding and reconcile postage usage for all campaigns
- Monitor inventory levels and initiate reorders as needed to avoid shortages or overages
- Receives and organizes print samples for each campaign before packaging and sending to the client
Client/ Project Management (25%)
- Build genuine, trusted relationships with nonprofit clients who are counting on your expertise and responsiveness
- Schedule and lead client meetings and follow through with clear, organized communication
- Summarize and present key client information to creative team, and participate in brainstorming meetings
- Manage assigned monthly renewal and quarterly upgrade campaigns for key clients
- Manage project schedules and ensure timely completion of tasks and project milestones
- Request and organize launch materials (collateral) from client
- Prepare explanatory memos and design mock-ups to present to clients
- Collaborate with internal teams (creative, audience development, reporting) to ensure cohesive execution
- Manage creative process with vendors, including writers and graphic designers
- Implement quality control of all client work, including proofreading and scope checks
- Oversee project completion: proofing content and finalizing paper and electronic files

You take pride in being the last set of eyes on a deliverable and are comfortable working in a fast-paced, high-volume environment. Whether you’re reviewing a printer proof, solving a last-minute production challenge, or talking to a client, you’re calm, organized, and solutions-oriented.

Required Experience
- Bachelor’s degree with two or more years of experience working in an agency environment
- Editing and proofreading experience
- Proficient in Microsoft Office Suite
The Details
Hours: Preferred Monday–Friday, 8:30 a.m.–5:30 p.m. Occasional extra hours as workload dictates. Minimum of three days a week working at the Daniller Austin, Texas office, and two days working remotely, depending on final candidate hired.
