Clinic-based Role

The ABA Program Coordinator supports the implementation and management of Applied Behavior Analysis (ABA) services for clients.
The role will coordinate a daily schedule of program activities and handle escalations from staff to maintain a supportive and productive environment for both staff and clients. The role will perform direct client services approximately 50% of its time with an assigned client. This may vary depending on interim coverage needed for session continuity due to call offs or other unexpected circumstances in the role’s assigned clinic.
With the remainder of time, this position ensures efficient clinical operations in various settings, ensures Technicians’ adherence to treatment protocols, provides mentorship to Technicians, and collaborates with Clinicians, Technicians, and families. The role will coordinate clinic activities such as therapy session and programming coverage, ensuring clients receive services without interruption, adjusting schedules and staffing as needed, and serves as a point of contact for parents.
This role is a 40-hour per week role stationed in the Company’s clinic. Support duties for non-clinic staff and clients in this territory are included in the duties of the role, which can be done remotely or in the clinic.
Responsibilities
Direct Services:
- Implement individualized behavior intervention plans under the supervision of a clinician, using ABA strategies to support skill development and behavior reduction.
- Collect accurate data on client behavior and skill acquisition, documenting progress and sharing information with the treatment team.
- Support clients in daily activities, social interactions, and skill-building tasks while maintaining a safe, structured, and positive environment.
Clinical Coordination:
- Monitor and support therapy sessions to ensure compliance with treatment plans and best practices.
- Provide real-time feedback and guidance to Technicians during sessions to maintain high-quality care.
- Monitor Technicians to ensure quality services are being delivered for clients in the clinic, escalating to Clinic Management as needed, and communicating progress to Clinic Management regularly.
- Ensure schedules are adhered to and adjust staff assignments as necessary to meet client needs.
- Ensure the clinic is set-up and maintained in a clean, organized, and safe clinic environment for clients and staff with appropriate materials ready for Technicians and Clinicians to utilize.
- Address day-to-day operational issues and escalate concerns to clinic management as needed.
Parent and Caregiver Coordination:
- Ensure staff is trained and available to greet and communicate with parents and caregivers as they are received by StepOne staff.
- Address questions, concerns, and requests promptly and professionally.
- Facilitate communication between families and the clinical team to ensure a collaborative approach to care.
Scheduling and Resource Management:
- Perform the scheduling function for their designated StepOne location to maintain efficient client and staff scheduling.
- Monitor daily schedules and make adjustments as needed to accommodate changes or absences.
- Ensure accurate and timely entry of encounter forms and data for the program.
Mentorship, Training, and Compliance:
- Work with Clinicians or Clinical Management to ensure mentorship is provided to staff, as appropriate for their roles.
- Work with Human Resources and any other Training staff to ensure regular training and development is occurring for staff in the company.
- Provide training, support, and guidance on therapy implementation and clinical procedures.
- Act as a role model by demonstrating exemplary clinical and professional practices.
- Ensure all compliance items for staff in the company.
- Work with Human Resources and Compliance to ensure the program is functioning in a HIPAA compliant fashion in regard to facilities, communications, and trainings.
Human Resources Support:
- Assist with employee onboarding, staff policy inquiries, performance management, and providing staff with communications and updates.
- Assist with employee credential compliance, tracking clearances and compliance trainings and communicating when updates are needed proactively to ensure continuity in compliance.
- Assist with staff events, organizing trainings, recognition programs, and other related items.
Escalations:
- Address and resolve client escalations or challenging behaviors in the clinic.
- Collaborate with the clinical team to develop strategies and solutions for managing difficult situations.
- Ensure client incidents are documented and communicate outcomes with the clinical team and families as appropriate.
- Document and escalate any staff injuries to Human Resources. Coordinate any urgent care communication instructions to staff.
Other:
- Other duties as assigned.
Qualifications
- Degree in Applied Behavior Analysis (ABA) or related field.
- Proven experience working with children with autism in a clinic or similar setting delivering ABA services in lieu of ABA education.
- Strong understanding of Applied Behavior Analysis (ABA) principles and best practices.
- Excellent communication, organizational, and leadership skills.
- Ability to multitask, prioritize, and remain calm under pressure.

Work Environment
This role is performed in various settings including in-person in a clinic environment. It requires regular computer work and requires the ability to communicate clearly both verbally and in writing – including frequent talking, hearing, writing, typing, reading, and significant comprehension. The employee frequently is also required to sit, stand, walk, use hands, and reach with arms/hands. Regular and consistent attendance required. Ability to work well under stress and managing workload of multiple priorities required.
