Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and phone etiquette at all times
- Manage multi-line phone systems, directing calls efficiently and professionally
- Handle data entry tasks accurately
- Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval
- Support office management duties such as calendar management, appointment scheduling, and calendar updates
- Assist with bookkeeping tasks using accounting software to support financial recordkeeping
- Provide clerical support including proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Coordinate front desk activities, including managing office supplies inventory and ensuring a tidy reception area
- Offer personal assistant support to team members as needed, including task prioritization and time management
Requirements
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with data entry, filing systems, and clerical tasks in a professional environment
- Excellent customer service skills with the ability to handle multiple phone lines using multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with high accuracy; familiarity with proofreading is a plus
- Previous experience in medical or dental receptionist roles is advantageous but not required
- Knowledge of bookkeeping practices including basic financial recordkeeping using QuickBooks or similar software
- Ability to manage time effectively in a fast-paced environment while maintaining productivity standards
