Job Overview
V10 Entertainment is looking for an office Coordinator to provide office administrative support, primarily for our management team in the tasks of preparing presentation decks with Canva, using Excel for reporting, travel planning, calendar management, meeting coordination including meals (lunch runs, working lunches), expense report preparation, and assist in various tasks as needed. Will work closely with other coordinators, must be able to switch priorities quickly and work occasional overtime.
This is a full-time, on-site position in Santa Monica primarily 9 am - 6 pm.
Key Responsibilities
- Scheduling & Coordination: Managing calendars, scheduling meetings and appointments, launching virtual meetings, coordinating travel arrangements, meal runs, and arranging conferences, town halls.
- Communication: Responding and following up to phone calls, composing emails and documentation.
- Record & Information Management: Creating and maintaining electronic filing systems, managing databases, spreadsheets, and ensuring proper documentation.
- Document Preparation: Typing, editing, and proofreading documents, reports, memos, and presentations. Logging and submitting expense reports in expense management system.
- Support & Assistance: Providing general assistance to leadership, greeting visitors, and collaborating with other departments to ensure smooth workflows. Provide backup to reception desk, if necessary.
- Office Management: Maintaining office supplies, snacks, and ensuring equipment is functioning properly for executive team; coordination with IT or other administrative roles as needed.
- Other related duties as assigned that may include supporting others when out of office, projects, job training others on tasks or equipment, etc. These functions are not all inclusive and not intended to cover all possible functions.
We What We Need
- Experience as an office coordinator or administrative support preferably in entertainment-related business
- Some knowledge of TV, film, or media industry
- Knowledge to provide service including needs assessment, quality, and evaluation of satisfaction and to actively look for ways to help others
- Knowledge in using Google Workspace, Microsoft Office especially Excel, and Canva
- Knowledge how to get information whether observation, receiving or obtaining it
- Active listening skills to give full attention to what other people are saying and understand points being made, including asking questions
- Organization skills
- Ability to take on tasks that may not be mentioned above
- Writing skills to communicate effectively for the needs of the audience so others will understand content and context
- Reading comprehension to understand work-related documents
- Speaking skills to convey information effectively and so that others will understand
- Ability to work in a fast-paced and dynamic environment

Role works generally in office and indoors in an office setting that is environmentally controlled; time spent sitting or stationary at work area with laptop and walking around office including going up and down a set of indoor stairs, and time spend using hands are continually or almost continually. Some local travel using own transportation may be needed to arrive timely.

Pay: $21.00 - $24.00 per hour
