integral to delivering safe, seamless, and outcome-driven clinical experiences. You support clients and
practitioners across hormone optimization, medical weight loss, recovery services, body sculpting, and
aesthetics.
Role Overview:
The Medical Assistant (MA) supports clinical operations end-to-end: preparing clients and rooms, capturing vitals
and histories, assisting with procedures, documenting services, and educating clients on pre- and post-care. You
will own clinical readiness, documentation accuracy, and client safety while collaborating with Health Coaches,
Nurse Practitioners, Aestheticians, and the Medical Director to drive exceptional member outcomes and
retention.
Key Responsibilities:
1) Clinical Intake & Readiness
Perform client intake: verify identity, review medical history, allergies, medications, and consent; capture vitals
(BP, HR, SpO₂, temperature, height, weight) and reason for visit. Prepare rooms, instruments, and supplies based
on the service (BHRT pellets, GLP-1 injections, IV/IM therapy, aesthetics). Ensure all equipment is clean,
calibrated, and in working order prior to client arrival.
SMART Goal: 100% of booked clinical sessions start on time with room readiness confirmed; intake completed
and vitals recorded for 100% of clients.
2) Procedure Assistance & Specimen Handling
Assist practitioners with BHRT pellet insertion setup, GLP-1 medication preparation, IV/IM therapy, blood draws,
and aesthetic procedures under supervision. Perform phlebotomy, label, store, and ship labs
per protocol; follow sharps, biohazard, and chain-of- custody standards.
3) Medication Support & Refills Under licensed supervision, support medication administration, prior
authorizations, and refill requests. Educate clients on timing, dosage, interactions, and post-care instructions;
document medication teaching and client understanding.
4) Documentation & EMR Accuracy
Maintain complete, audit-ready records in Zenoti (EMR) for all clinical encounters: vitals, services rendered, lot
numbers, consent forms, photos, pre-/post-instructions, and follow-up tasks. Use standardized templates and
codes for consistency.
5) Client Education & Communication
Deliver clear, empathetic education on procedures, medications, supplements, and recovery. Conduct postprocedure follow-ups via app/phone; escalate concerns. Reinforce health coach plans and promote adherence to
programs in the Serotonin Coach app.
6) Inventory, Equipment & Facility Standards
Monitor inventory (medications, Consumables, disposables); perform cycle counts; place orders or prepare
orders for GM to prevent stockouts. Maintain equipment logs and preventive maintenance; uphold infection
control and room turnover standards to keep the center clean, safe, and welcoming.
7) Cross-Functional Collaboration & Events
Partner with Health Coaches, NPs, Aestheticians, and the GM to deliver integrated care plans. Support local
events and outreach (open houses, talks, grassroots activations) by providing clinical readiness, education, and
booking follow-up consultations.
Complete all product/service training (Hormone Optimization, Medical Weight Loss, Optimized Health,
Aesthetics, IV, HBOT, Red Light). Demonstrate consultative communication—ask to understand, avoid data dumps
—and reinforce membership value.
9) Safety & Compliance
Adhere to HIPAA, OSHA, and biohazard standards; follow sharps disposal, infection control, and emergency
protocols. Complete annual safety refreshers and drills; participate in mock audits to ensure readiness.
10) Team Operations & Continuous Improvement
Attend daily huddles; review Trackers. Support GM with accurate, timely reporting; capture client feedback and
implement improvements; complete Compliance training in SeroConnect (internal LMS) and all role-based
meetings.
Qualifications
Certified/Registered Medical Assistant (CMA/RMA) preferred; phlebotomy certification a plus.
2+ years clinical experience in wellness, anti-aging, aesthetics, or ambulatory settings.
Meticulous documentation, organization, and follow-through; calm under pressure.
MUST be available to work 9-4 two Saturdays per month.
