Job Summary
We are seeking a proactive and detail-oriented Accounting Assistant to join our dynamic team. Responsibilities
- Assist with data entry and bookkeeping tasks using QuickBooks Online.
- Manage accounts payable and receivable, including processing invoices, payments, and expense reports.
- Support month-end and year-end closing procedures by preparing necessary documentation and reconciliations.
- Maintain organized filing systems for financial documents, contracts, and client records, both digitally and physically.
- Handle front desk duties such as answering multi-line phone systems, greeting visitors, and directing calls with professional phone etiquette.
- Coordinate calendar management for finance team meetings, appointments, and deadlines using Google Workspace or Microsoft Office tools.
- Provide excellent customer service by assisting clients with billing inquiries and supporting internal teams with administrative needs.
Requirements
- Proven office management or administrative experience, preferably in a medical or dental setting.
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and Google Workspace applications.
- Experience with QuickBooks or similar bookkeeping software is highly desirable.
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Bilingual abilities are a plus to support diverse client interactions.
- Demonstrated data entry accuracy, proofreading skills, and attention to detail.
- Exceptional communication skills via phone and in person, including phone etiquette and client communication.
- Prior experience working with spreadsheets, filing systems, calendar management, and office support functions.
- Ability to handle clerical tasks such as typing, proofreading, document preparation, and maintaining confidentiality.
