The Administrative Assistant provides high-level administrative support to the CEO, CFO, COO, and Board of Directors. This role is responsible for managing complex executive calendars, coordinating Board and committee meetings, preparing agendas and meeting minutes, maintaining Board records, and serving as a key liaison between executive leadership, Board members, residents, staff, and external partners.
The ideal candidate is highly organized, proactive, and able to manage multiple priorities independently while maintaining the highest level of professionalism and confidentiality. This position requires exceptional communication skills, strong attention to detail, and the ability to anticipate executive needs in a fast-paced environment.
Key Responsibilities

Manage complex calendars and coordinate executive meetings.

Plan and support Board and committee meetings, including agendas, minutes, logistics, and follow-up.

Maintain Board records, corporate documents, policies, and meeting calendars.

Prepare, edit, and distribute reports, correspondence, and presentations.

Serve as a liaison between executive leadership, Board members, staff, residents, and external partners.

Coordinate meeting logistics, room reservations, catering, and virtual/hybrid meeting technology.

Maintain confidentiality while handling sensitive information.

Support strategic initiatives and administrative projects.

Oversee office operations, supplies, and general administrative functions.

Provide exceptional customer service to residents, visitors, Board members, and staff.
Ideal Candidate

3+ years of executive administrative support experience.

Experience supporting Boards of Directors or committees.

Proven ability to manage complex executive calendars and prioritize competing demands.

Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint).

Excellent organizational, communication, and problem-solving skills.

Ability to work independently with minimal supervision while exercising sound judgment.

Nonprofit experience is a plus.

Minimum of 3 years of executive administrative support experience.

At least 3 years of experience managing complex executive calendars and coordinating meetings.

Minimum of 1 year of Board of Directors or committee meeting support, including preparing agendas and recording meeting minutes.

Demonstrated ability to work independently, prioritize multiple projects, and make sound decisions with minimal supervision.

Minimum of 3 years of experience handling confidential and sensitive information with discretion.

Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Excellent written and verbal communication skills.
