Job Summary: The Accounting Data Entry Clerk is responsible for accurately and efficiently inputting financial data into various systems and maintaining organized financial records. This role plays a critical part in ensuring the integrity of financial information, supporting accounting operations, and contributing to the overall financial health of the organization.
Key Responsibilities:
- Data Input & Management:
- Accurately enter financial data from various sources (e.g., invoices, receipts, bank statements, expense reports) into accounting software and spreadsheets.
- Verify data for errors and discrepancies, ensuring high levels of accuracy and completeness.
- Maintain organized digital and physical financial records, ensuring easy retrieval and compliance.
- Transaction Processing:
- Process accounts payable and accounts receivable transactions, including coding and posting entries.
- Assist with the preparation of financial documents, reports, and statements as needed.
- Reconciliation Support:
- Support reconciliation activities by comparing data from different sources and identifying variances.
- Assist in preparing data for month-end and year-end closing procedures.
- Compliance & Confidentiality:
- Adhere strictly to company financial policies, procedures, and data security protocols.
- Maintain strict confidentiality of all financial information.
- Administrative Support:
- Assist the accounting department with general administrative tasks, including filing, scanning, and organizing documents.
- Communicate effectively with internal departments to obtain necessary financial information.
Qualifications:
- Education: High school diploma or equivalent required. Associate's degree in Accounting, Finance, or a related field preferred.
- Experience: 1-2 years of experience in data entry, administrative support, or an accounting environment preferred.
- Skills:
- Exceptional attention to detail and accuracy.
- Proficiency in data entry and 10-key operation.
- Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office Suite (especially Excel).
- Strong organizational and time management skills.
- Ability to handle sensitive and confidential information with discretion.
- Good written and verbal communication skills.
- Ability to work independently and collaboratively within a team.
- Physical Requirements:
- Primarily a sedentary role, requiring extended periods of sitting.
- Ability to use a computer and keyboard for long durations.
- Occasional light lifting (e.g., boxes of files) may be required.
