Job Summary
The Assistant Property Manager is responsible for providing unparalleled service to our residents by assisting in the coordination and orchestration of day-to-day operations of our apartment community. This role is the liaison between management, site staff, and residents in the absence of the Property Manager.
Duties and Responsibilities
The duties and responsibilities include, but are not limited to:
- Train, manage, mentor, and assess the work of the Leasing Manager and the Leasing Consultants
- Participate in the annual performance review process for the Leasing Manager and the Leasing Consultants
- Work with the Property Manager and Leasing Manager to create, implement, and maintain a thorough annual marketing plan
- Prepare and deliver renewal offers according to legal guidelines
- Prepare weekly and monthly reports as assigned
- Perform monthly tenant file audits to ensure accuracy and completion
- Conduct final move-out inspection and process SODAs according to company guidelines
- Manage delinquency and collections according to property-specific guidelines
- Collect physical payments; post them into the company’s accounting system, and remotely scan checks into the bank accounts
- Responsibly maintain the accuracy and upkeep of recurring and non-recurring rent and other income charges; manually prorate charges as necessary
- Post late fees monthly as prescribed by company policy
- Monitor payments for NSF returns and other reversals, record the activity to ledgers, and inform residents of the returns
- Assist in managing all aspects of a building’s occupancy and maintenance
- Process tenant applications and conduct credit checks
- Assist with the resolution of resident complaints
- Enforce property rules and regulations
- Assist with evictions
- Comply with anti-discrimination laws regarding housing, renting, and advertising
- Ensure all work orders are processed in a timely fashion
- Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests weekly
- Assist with planning, advertising, participating in, and managing resident functions and events
- Operate within OSHA (Occupational Safety and Health Act) standards and company safety policies at all times
- Maintain a clean and orderly work environment and contribute to the cleanliness and curb appeal of the community on a continuing basis
- Create a professional and friendly office environment
- Greet visitors in a warm, friendly, and professional manner
- Cross-train for other positions within the office as needed
- Coordinate special projects as directed
- Other duties as assigned
Qualifications
- High School Diploma or equivalent
- 3+ years of property management experience
- 2+ years of experience as an Assistant Property Manager of a 150+ unit apartment community
- 2+ years of customer service experience
- Computer proficiency and knowledge of the Internet, email, and social media as it pertains to marketing of the community
- Knowledge of Microsoft Office (Word, Excel, and Outlook) and Rent Manager highly desired
- Solid understanding of the Fair Housing Act, as well as apartment management laws and regulations at the federal, state, and local levels
- Strong customer service, conflict resolution, communication, and interpersonal skills
- Strong commitment to serving the needs of the apartment community and the people within it
- Well organized with the ability to prioritize and multi-task
- Attention to detail
- Working knowledge of multifamily property management practices and processes, building and grounds maintenance, resident relations, leasing, rent collection, eviction procedures, accounting principles, and property safety
- Positive attitude and the ability to be pleasant under all circumstances
- Demonstrates a professional appearance and represents the company in a professional manner at all times
- Team-oriented with the ability to work independently when necessary
- Must maintain a thorough knowledge of lease terms, specifications, and all community policies
- Verbal, math, and reasoning skills
- NALP and Fair Housing Certification a plus
Working Conditions & Physical Requirements
- Must be able to work weekdays and weekends as deemed necessary
- Must be able to work outdoors to conduct tours of the property
- Regularly required to stand, walk, sit, reach, and climb stairs
- Occasionally required to stoop, kneel, and crouch
- Must occasionally move, carry, reposition, and/or lift up to 20 lbs.
