Job Summary
We are seeking a dynamic and highly organized Business Office Director to lead and oversee all administrative, financial, and operational functions within our organization. This pivotal role involves managing office operations, supervising staff, handling vendor relationships, and ensuring seamless communication across departments. Duties
- Lead and supervise administrative staff to ensure efficient office operations and high-quality customer service.
- Oversee budgeting, bookkeeping, payroll processing, and financial reporting using accounting software such as QuickBooks or similar platforms.
- Manage vendor relationships, negotiate contracts, and coordinate procurement to optimize resources and services.
- Plan and coordinate organizational events, meetings, and training sessions to promote team development and engagement.
- Handle confidential information with discretion while maintaining accurate records through filing systems, spreadsheets, and office management software.
- Oversee scheduling management, calendar coordination, front desk activities, multi-line phone systems, and client communication to ensure smooth daily operations.
- Supervise human resources functions including onboarding, employee records management, compliance with employment laws, and performance evaluations.
Skills
- Proven experience in office management with strong organizational skills and attention to detail.
- Excellent communication skills with the ability to handle client interactions professionally via phone or in person.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and financial software such as QuickBooks or equivalent accounting tools.
- Demonstrated experience in event planning, vendor management, budgeting, bookkeeping, payroll processing, and human resources functions.
- Strong supervisory experience with the ability to lead teams effectively while fostering a positive work environment.
- Knowledge of medical office management or similar healthcare administrative experience is a plus.
- Ability to handle confidential information discreetly while maintaining accuracy in recordkeeping and reporting.
- Technical proficiency in office equipment (multi-line phones, fax machines) along with excellent phone etiquette and customer service skills.
