We are seeking a Full Charge Bookkeeper to take ownership of day-to-day accounting and payroll functions with the ability to improve processes. This is an opportunity to be part of a team while offering new creative ideas. The ideal candidate is an experienced bookkeeper using Quickbooks online who enjoys rolling up their sleeves, improving processes, and partnering directly with leadership to drive clarity, accuracy, and profitability.
What This Role Owns
FULL CHARGE BOOKKEEPER
- Manage Accounts Receivable from invoicing through collection:
- Monthly and annual recurring invoices
- Custom project-based billing
- AR aging, statements, late fees, service holds, and upfront payment flags
- Coordination with collection partners when needed
- Manage Accounts Payable:
- Vendor relationships and approvals
- Budget oversight and expense controls
- Cash-flow awareness and bill scheduling
- Setup and management of purchase order workflows
- Maintain general ledger accuracy, journal entries, reconciliations, and reporting
- Review and approve customer credit for TripDAWG contracts
- Prepare and analyze monthly and quarterly financial results (revenue, expenses, profitability)
- Participate in monthly and quarterly financial review meetings with leadership
Time Tracking & Profitability Insights
- Track and analyze billable time and productivity:
- Revenue generated per hour or per month
- Project profitability (billable vs. actual time)
- Help leadership understand:
- Where margins are strong or slipping
- Opportunities to manage costs and increase billable efficiency
Payroll & HR Coordination
- Process bi-weekly payroll, including:
- Collecting and reviewing timecards
- Ensuring overtime is pre-approved
- Prepare monthly commission reports
- Support compensation models tied to productivity and performance
- Coordinate with third-party HR/payroll partners to maintain compliance
License Account Accounting
- Prepare and send daily reimbursement invoices (estimates) to customers
- Collect, distribute, reconcile, and adjust license-account funds
- Process regulatory and agency payments, including:
- DMV (weekly)
- DealerTrack (daily ACH)
- BWU (daily ACH)
- BOE / IFTA tax payments (quarterly – ~100 customers)
- Oregon (monthly & quarterly – ~30 customers)
- New Mexico (quarterly – ~30 customers)
- UCR and other agencies
- Perform post-project adjustments for over- or under-funded accounts
- Maintain accuracy, transparency, and simplicity in all trust-style accounting

- Clear visibility into profitability and cash flow
- Accurate, well-reconciled license-account balances
- Fewer surprises and smoother month-end closes
- Processes that feel simpler for both customers and internal teams
Qualifications
- 5+ years of hands-on accounting experience
- Strong full-cycle accounting skills (AP, AR, payroll, reconciliations)
- Experience with trust, escrow, or pass-through accounting strongly preferred
- Proficiency in QuickBooks Online and Microsoft Excel (intermediate)
- Highly organized, detail-oriented, and comfortable working independently
- Practical, solution-oriented mindset with strong communication skills
