Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. Duties
- Manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting notes with accuracy and attention to detail.
- Organize and facilitate meetings via video conferencing software such as Zoom or Microsoft Teams, ensuring all logistics are handled smoothly.
- Handle phone etiquette professionally while managing multi-line phone systems and screening calls for the executive.
- Assist with event planning for company functions, board meetings, or special projects, including venue arrangements, catering coordination, and logistics management.
- Maintain comprehensive filing systems—both digital and physical—and ensure confidentiality of sensitive information.
- Support bookkeeping tasks using QuickBooks or similar accounting software; perform data entry, invoicing, expense tracking, and basic bookkeeping duties.
- Collaborate with C-suite executives and other departments to coordinate projects, track deadlines, and ensure timely completion of tasks.
- Provide personal assistant support as needed—managing personal appointments or errands for the CEO to optimize their productivity.
- Utilize office management skills to oversee supply inventories, manage office equipment maintenance, and streamline administrative workflows.
Requirements
- Proven experience as an executive assistant or personal assistant supporting high-level executives in a fast-paced environment.
- Strong organizational skills with exceptional attention to detail; able to prioritize tasks effectively.
- Proficiency in productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and calendar management tools.
- Technical proficiency with video conferencing platforms (Zoom, Microsoft Teams), data entry systems, transcription tools, and multi-line phone systems.
- Excellent written and verbal communication skills with professional phone etiquette.
- Experience with event planning, project coordination, office management, bookkeeping (QuickBooks), and clerical duties such as filing and proofreading.
- Ability to handle confidential information discreetly while maintaining a positive attitude under pressure.
- Strong computer literacy combined with quick learning of new software applications as needed.
- Demonstrated ability to work collaboratively across teams while managing multiple priorities independently.

Pay: $54,100.70 - $90,000.00 per year
