We're seeking an organized individual to join our team and help us manage our office and retail spaces both leased and vacant across our Wisconsin portfolio.
Job Description:
We are seeking a motivated, organized individual who will be responsible for the day-to-day operations, financial performance, tenant relations, maintenance, and overall management of our office and retail portfolio. This position ensures that properties are professionally maintained, leased spaces are operating efficiently, and financial goals are met. Although many of our buildings contain both apartments and office/retail, this role will be solely responsible for the office/retail/storage spaces in our portfolio.
This role requires organization, excellent communication skills, and a self-motivated individual who can identify tasks that need to be completed with limited supervision.
Key Responsibilities:
● Manage commercial tenant move-ins and move-outs in accordance with property checklists, ensure turnover for spaces occurs in a timely and organized manner.
● Conduct regular property inspections to ensure high standards of appearance and safety, and ensure compliance with all rules and regulations.
● Manage vendor contracts and service providers, including landscaping, janitorial, security, and maintenance in coordination with our Director of Property Management,
● Coordinate repairs, maintenance projects, and improvements with our Construction team as needed. Monitor office/retail/storage spaces and proactively plan for preventative maintenance to ensure the condition of the spaces remains up to our standards.
● Serve as the primary contact point for tenants and respond promptly and professionally to all tenant requests, and enforce leases.
● Monitor rent collection, track expenses, and work with our team of accountants to ensure payments are made and received in a timely manner and that all expenses are tracked correctly.
● Assist our Executive VP with property tours for prospects and follow up with prospective tenant inquiries including emails, call, and mailings. Track leasing efforts and report to the executive team on a regular basis.
● Create, review and manage sales reports for each commercial space on a monthly basis and report back to the Executive VP regularly.
Qualifications:
● Experience in commercial real estate required. Minimum of 1-2 years required, but 2+ preferred.
● Self-motivated and able to work independently with minimal supervision.
● Strong interpersonal and communication skills, comfortable calling, emailing, and communicating with prospects, tenants, and team members.
● Comfortable working in an office environment with two friendly office dogs who are in the main office Monday-Friday (labrador retrievers) and traveling to the various locations across Dane County throughout the week. Occasional travel (typically no more than 1 time per month) for the day may be required to our properties in Wausau and in Oshkosh. No overnight travel required.
● Proficiency in Microsoft Suite, Gmail, and experience with property management software required. (Preferably Entranta or Appfolio but other experience is acceptable.)
