The Opportunity
We are seeking a detail-oriented, empathetic, and professional Customer Service Representative to join our team. In this role, you will serve as the primary point of contact for individuals requesting medical records, navigating health information portals, or inquiring about request statuses. Because you will handle sensitive health information, absolute discretion, familiarity with privacy regulations (HIPAA), and a calm, helpful demeanor are essential to your success. Required Qualifications & Skills
Experience: Minimum 1–2 years of customer service, call center, or administrative experience (prior experience in healthcare, medical billing, or a medical office setting is highly preferred).
HIPAA Knowledge: Basic understanding of healthcare privacy regulations and the importance of data confidentiality.
Technical Proficiency: strong computer skills, including the ability to navigate complex database software, electronic health record (EHR) systems, and Microsoft Office Suite (Outlook, Word).
Communication Skills: Exceptional verbal and written communication skills characterized by a professional, empathetic, and patient-centric phone demeanor.
Detail-Oriented: Superior accuracy in data entry and file verification to prevent breaches or compliance errors.
Education: High school diploma or equivalent required (Associate’s degree or medical administrative certification is a plus).

Responsibilities
Customer Support: Respond to high-volume inquiries via phone, email, and web chat from patients, insurance companies, legal representatives, and healthcare providers regarding medical records requests.
Request Processing & Validation: Assist callers in completing Release of Information (ROI) authorization forms. Verify identity and ensure all documentation meets company and legal compliance requirements.
Status Tracking: Utilize internal database systems to track, update, and report the status of ongoing medical records requests to inquiring parties.
HIPAA Compliance: Maintain strict confidentiality and adhere to all federal, state, and local healthcare privacy laws (HIPAA) during every customer interaction.
Issue Resolution: Research and resolve discrepancies regarding missing documentation, illegible records, or billing questions related to record retrieval fees.
System Data Entry: Document all customer communications, notes, and actions accurately within the company's proprietary health information system.
