We are a fast-growing beauty and personal care company developing skincare, bath, body, hair care, cosmetics, wipes, tools, gift sets, and retail programs for major U.S. retailers.
We are looking for a highly organized, detail-oriented Production Coordinator to support our product development and production pipeline across multiple brands and categories. This is a hands-on role focused on factory communication, sample tracking, artwork flow, compliance documentation, and production follow-up.
You’re the person who spots the small things before they become big problems. A wrong UPC, mismatched net weight, missing warning, outdated artwork file, sample discrepancy, or unanswered factory email doesn’t slip past you. You’re organized, persistent, and comfortable keeping multiple projects moving at once — following up with factories, coordinating with designers, tracking samples, and making sure every detail is correct before production.
Responsibilities
- Track samples, revisions, approvals, costing updates, and production timelines across multiple active projects.
- Communicate directly with overseas factories and domestic vendors regarding sample requests, revisions, timelines, artwork, packaging, and production status.
- Manage the flow of artwork files between designers, factories, printers, vendors, and internal teams.
- Review packaging artwork, dielines, labels, and proofs for accuracy, including UPCs, net weights, item descriptions, ingredient lists, warnings, claims, and customer requirements.
- Maintain organized SKU trackers, vendor records, sample logs, costing sheets, and development status reports.
- Support compliance documentation, including safety data sheets, ingredient lists, regulatory checklists, testing documents, and customer-required forms.
- Assist with item setup forms, spec sheets, buyer presentation materials, and production handoff documents.
- Follow up consistently to keep projects moving and ensure deadlines are met.
- Help identify missing information, artwork errors, sample issues, or production risks before they become larger problems.
Requirements
- 2–5 years of experience in beauty, personal care, cosmetics, bath/body, hair care, wipes, packaging, private label, imports, production, or related consumer goods.
- Hands-on experience communicating with factories, vendors, contract manufacturers, printers, or packaging suppliers.
- Experience tracking samples, artwork revisions, approvals, production timelines, SKU details, or project status across multiple active items.
- Strong attention to detail when reviewing packaging, labels, artwork files, item specs, UPCs, net weights, ingredient lists, warnings, or claims.
- Comfortable working with overseas vendors across time zones.
- Strong Excel / Google Sheets skills.
- Adobe Acrobat experience preferred.
- Adobe Illustrator experience is a plus, but not required.
- Highly organized, proactive, self-directed, and able to manage multiple projects at the same time.
- Must be able to work on-site in Brooklyn, NY.
Ideal Candidate
You do not need to be a designer or cosmetic chemist, but you should be comfortable working around packaging, samples, formulas, artwork, factories, compliance documents, and retail requirements.
You should be someone who enjoys structure, follows up without being reminded, catches mistakes early, and keeps projects organized from concept through production.
