Job Summary
We are seeking a detail-oriented and highly organized Title Clerk to join our legal administrative team. Duties
- Prepare, review, and process vehicle title documents, ensuring all information is accurate and complete.
- Maintain comprehensive case management records using software such as iManage and other document management systems.
- Conduct legal research related to title regulations, lien filings, and ownership transfers to ensure compliance with applicable laws.
- Draft legal documents, correspondence, and reports with clarity, accuracy, and attention to detail.
- Perform data entry tasks within case management software, ensuring confidentiality of sensitive information.
- Proofread all documentation meticulously to prevent errors and ensure consistency with legal terminology.
- Communicate effectively with clients, dealerships, government agencies, and internal teams regarding title status updates or required actions.
- Organize filing systems for easy retrieval of documents; handle document scanning, indexing, and storage efficiently.
- Assist in legal discovery processes by gathering relevant documentation as needed for ongoing cases or audits.
- Support the legal team with administrative tasks such as scheduling appointments, managing deadlines, and handling confidential information discreetly.
Qualifications
- Proven experience in law office administration or legal support roles, preferably with paralegal experience or similar background.
- Strong analysis skills to interpret legal documents and identify discrepancies or issues promptly.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with case management software like iManage or equivalent systems.
- Excellent proofreading skills combined with a keen eye for detail; ability to draft clear and precise legal documents.
- Familiarity with legal terminology related to vehicle titles, liens, ownership transfers, and registration processes.
- Demonstrated organizational skills for managing multiple files simultaneously while maintaining accuracy.
- Experience handling confidential information responsibly in accordance with privacy standards.
- Effective client communication skills—professionalism combined with a service-oriented approach.
- Ability to perform data entry accurately under tight deadlines; strong technical proficiency across relevant platforms.
- Previous law office experience involving legal research or discovery is highly desirable.
