Responsibilities
- Greet visitors and clients with professionalism and a warm, friendly demeanor, ensuring they feel welcomed and valued.
- Operate multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Manage appointment scheduling, calendar management, and coordinate meetings using productivity software such as Microsoft Office and Zoho.
- Handle data entry tasks with precision, including filing, record keeping, and updating databases.
- Perform clerical duties such as proofreading documents, managing correspondence, and organizing files to support office operations.
- Support office management by maintaining supplies inventory, overseeing mail distribution, and ensuring the front desk area remains tidy and professional.
- Provide customer support through effective communication skills, addressing inquiries promptly and professionally across various channels.
Experience
- A high school diploma or GED is required.
- Prior customer service experience is required; familiarity with front desk operations is highly desirable.
- Proven ability to manage multiple tasks efficiently using organizational skills and time management techniques.
- Familiarity in Microsoft Office Suite (Word, Excel, Outlook) and productivity software.
- Experience with data entry, filing systems, and clerical tasks that demonstrate attention to detail.
- Knowledge of medical or dental receptionist duties is advantageous but not mandatory; training will be provided if needed.
- Personal assistant or office management experience will be considered an asset for this role.
- Patience and kindness are absolutely necessary, as this job will be dealing with many elderly people.
