As our company continues to grow, we are seeking a Client Experience & Care Coordinator to join our team.
This is not a traditional administrative role. We are looking for a polished, highly organized, relationship-driven professional who understands that every interaction is an opportunity to build trust, create confidence, and deliver an exceptional client experience.
The ideal candidate will bring a combination of high-touch customer service, sales instincts, operational excellence, and exceptional attention to detail.
You will work closely with Executive Management and play a critical role in the experience of both our existing families and prospective clients. This position offers the opportunity to grow into a leadership and management role within a rapidly expanding company.
The Opportunity
As a Client Experience & Care Coordinator, you will serve as a trusted point of contact for our families from their initial inquiry through the ongoing delivery of care.
You will build relationships with prospective clients, understand their unique childcare needs, guide them through our services, coordinate highly personalized nanny placements, and ensure that every detail of their experience is thoughtfully managed.
The successful candidate will be equally comfortable building rapport with a prospective client, managing a complex family schedule, solving an unexpected issue, and ensuring that no detail falls through the cracks.
What You'll DoClient Experience & Relationship Management
- Serve as a primary point of contact for a portfolio of families, developing trusted and lasting relationships.
- Deliver a consistently polished, responsive, and personalized client experience.
- Conduct proactive client check-ins to ensure satisfaction and identify opportunities to enhance the family's experience.
- Develop and maintain detailed, individualized care plans that reflect each family's unique preferences, routines, and expectations.
- Anticipate client needs and proactively address potential concerns before they become issues.
- Handle client concerns with professionalism, discretion, and sound judgment.
- Build strong relationships with families, nannies, and internal team members.
Sales & Business Development
- Respond to new family inquiries and serve as an initial ambassador for the Oliver's Nannies brand.
- Conduct inquiry calls and consultation meetings with prospective clients to understand their childcare needs and determine the appropriate solution.
- Confidently communicate the value of our services and guide prospective clients through the decision-making process.
- Follow up thoughtfully and consistently with prospective families to move opportunities through the sales process.
- Develop strong relationships that convert inquiries into long-term clients.
- Identify opportunities to expand relationships with existing clients through additional services and care solutions.
- Maintain accurate records and follow-up activity within company systems.
Care Coordination & Operations
- Coordinate highly personalized nanny-family matches using our proprietary matching process.
- Manage family and nanny schedules with exceptional attention to detail.
- Attend initial family/nanny setup visits and ensure a seamless introduction to care.
- Coordinate changes in care, schedule adjustments, backup care, and other evolving family needs.
- Partner with nannies and internal team members to ensure continuity and consistency of care.
- Manage urgent client needs with composure, efficiency, and professionalism.
- Participate in an after-hours on-call rotation for urgent client matters and prospective family inquiries.

Qualifications
- Bachelor's degree required.
- 2+ years of professional experience required.
- Previous customer service, client relations, sales, recruiting, hospitality, or other client-facing experience strongly preferred.
- Exceptional verbal and written communication skills.
- Strong organizational and time-management skills.
- Excellent attention to detail.
- Proficiency with Microsoft Word, Excel, and Windows.
- Ability to learn and utilize proprietary systems and technology.
- Clean driving record.
- Successful completion of a background check.
- Two professional references required.
- Ability to participate in an after-hours on-call rotation.
