Strong computer skills, including proficiency with QuickBooks desktop/QuickBooks Online and Excel preferred. Experience with ADP preferred but not required. Ability to multitask, work under pressure and meet deadlines, team player, effective communication skills essential and positive work ethic.
Duties will include some or all of the following for multiple organizations.
Timekeeping and Data Processing
- Collect timesheets/payroll information
- Input data: Manage new hire entry, terminations, and changes in pay rates or banking details and bookkeeping data entry within the system
- Calculate, collect, and remit sales taxes to appropriate government agencies.
- QuickBooks: data entry, reconciliation of bank and other accounts
Calculations and Compliance
- Determine pay: Calculate regular wages, overtime, bonuses, and commissions.
- Process deductions: Withhold required taxes (federal, state, and local income tax, FICA) and voluntary deductions (retirement plans, health benefits).
- Ensure compliance: Follow federal, state, and local labor laws and government regulations. Prepare and file sales and use tax returns to ensure accuracy
Disbursements and Reporting
- Issue payments: Facilitate direct deposits or print and distribute paystubs
- Report preparation: Compile periodic payroll reports for management and accounting.
- Tax documents: Prepare and issue monthly, quarterly and end-of-year tax forms like W-2s.
- Prepare and submit periodic income reports such as P&L’s and Balance Sheets
Employee Support and System Maintenance
- Resolve discrepancies: Investigate and correct pay errors, missing hours, incorrect deductions, and reconciliation discrepancies
- Recordkeeping: Maintain confidentiality and update employee payroll files regularly. Perform bookkeeping and monthly closing activities
