Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
- Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately.
- Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy.
- Coordinate calendar management, scheduling appointments, meetings, and conference rooms with precision.
- Utilize Microsoft Office Suite and Google Workspace tools for creating reports, presentations, and correspondence.
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking.
- Provide excellent customer support by addressing inquiries promptly and maintaining positive communication.
- Assist with office management duties such as supply inventory, mail handling, and maintaining a clean workspace.
- Support medical or dental receptionist duties as needed, including patient check-in/out processes.
- Handle clerical tasks such as data entry, proofreading documents, and organizing files for easy retrieval.
Experience
- Prior office experience in administrative roles or as a receptionist is highly preferred.
- Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
- Experience managing multi-line phone systems and providing exceptional customer service in fast-paced environments.
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
- Strong organizational skills with the ability to prioritize tasks efficiently while managing time effectively.
- Knowledge of bookkeeping software such as QuickBooks or similar platforms is advantageous.
- Previous experience in medical or dental reception is beneficial but not required; training will be provided for specific duties.
