What we’re looking for:
Santé seeks a detail-oriented and highly organized Human Resources Administrator. This individual will play a critical role supporting the HR department’s operations and compliance functions. This position will primarily provide support with onboarding, compliance preparedness and reporting, HRIS data management and integrity, and offboarding of employees. This is a hybrid role with a requirement of three days in the office for the first six months and then two days in the office.
Job Responsibilities

Manage the new hire onboarding process to include ensure all new hires have required background checks, fingerprinting, licensure, and other required paperwork and processes completed prior to start date; answer new hire questions in a timely manner; review and update employee record in the HRIS, accurately file all new hire paperwork in the HRIS; communicate new hire start dates with internal stakeholders; and other related onboarding tasks.
- Ensure the maintenance and organization of employee personnel and medical files for audit readiness.

Perform monthly compliance tasks, including but not limited to state and federal sanctions checks, and employee background checks, CPS checks, primary source verification for licensed/certified staff tied to employee anniversary.

Manage the offboarding process for resignations and terminations, including preparing related employee correspondence.

Process employee personnel actions in the HRIS and send notifications to employees as needed.

Process and forward payroll advance requests to the payroll team.

Respond to official garnishment orders and share supporting documents with the payroll team.

Process employment verifications.

Prepare HR-related reports on an ongoing basis, such as new hires, terminations, anniversaries, and other reports on a quarterly and annual basis.

Monitor the HR email box and phone to address basic employee inquiries and field complex questions to other HR team members.

Support day-to-day benefit plan administration, including enrollments, changes, inquiries, and terminations. Ensure timely and accurate processing of benefit-related transactions. Support annual open enrollment activities.

Provide administrative support for requests for FMLA, other leaves of absence and accommodation requests, including employee correspondence and gathering of required paperwork. Maintain paperwork and tracking logs.

Receive and processes workers’ compensation and injury claims. Notify the HR Manager of all reported injuries and maintain the required logs for the annual OSHA guidelines.

Qualifications

Two years of Human Resources experience required with a preference for four years.

Basic knowledge of HR laws, compliance and best practices.

Proficient using HR information systems (ADP Workplace Now strongly preferred) and MS Office suite.

Detail-oriented and organized with strong time-management skills.

High level of discretion and ability to handle sensitive information.

Excellent communication, interpersonal, and problem-solving skills.

Ability to work independently and collaboratively in a fast-paced environment.
