Hire Impact Recruiting is a nationwide recruiting company that helps transportation companies find, qualify, and hire commercial drivers.
As our company and client base continue to grow, we are expanding our First Advantage processing department. Our team expects to support more than 50 client accounts and over 100 drivers actively moving through the background screening and qualification process.
We are looking for two dependable, highly organized individuals who can help keep candidates moving through the process accurately and efficiently.
About the Position
The First Advantage Processing Specialist is responsible for assisting commercial driver candidates through the First Advantage background screening and qualification process.
This is a high-volume administrative and communication-based role. Each specialist will manage multiple active driver files, monitor progress, follow up on missing information, maintain accurate CRM records, and communicate with drivers, recruiters, clients, and First Advantage representatives.
Organization and follow-through are essential. A missed update, incomplete document, or delayed follow-up can affect a driver’s ability to begin working. The ideal candidate takes ownership of assigned cases, notices small details, communicates clearly, and consistently follows tasks through to completion.
This position reports directly to the FADV Department Manager.
Key Responsibilities
- Manage assigned drivers throughout the First Advantage screening and qualification process.
- Send First Advantage applications, instructions, and required follow-up information to candidates.
- Monitor candidate progress and active cases throughout the workday.
- Follow up with drivers regarding incomplete applications, missing documents, medical certificates, motor vehicle records, background checks, and other outstanding requirements.
- Maintain accurate and detailed notes, statuses, and documentation in the company CRM.
- Review candidate files for missing, incomplete, expired, or inconsistent information.
- Communicate routine status updates and processing concerns to recruiters.
- Coordinate with First Advantage representatives to resolve application and screening issues.
- Communicate professionally with clients and contractor representatives when necessary.
- Assist candidates with understanding required steps while remaining within established company procedures.
- Track deadlines, aging cases, and outstanding requirements.
- Prioritize urgent cases without losing accuracy on other assigned files.
- Troubleshoot routine processing issues and escalate complex cases to the FADV Department Manager.
- Maintain organized records for multiple clients with different qualification requirements.
- Protect confidential candidate, client, and background screening information.
- Participate in team meetings, training sessions, and department updates.
- Follow established workflows, documentation standards, and communication procedures.
- Help ensure drivers move through the qualification process without unnecessary delays.

- Reliable attendance and consistent availability during scheduled business hours.
Preferred Experience
Experience in one or more of the following areas is preferred but not required:
- Transportation or logistics
- Recruiting or human resources
- Driver onboarding
- Background screening
- Administrative processing
- Compliance or qualification processing
- DOT or FMCSA-related processes
- Commercial driver qualification requirements
- Motor vehicle record processing
- Medical certificate verification
- FedEx Ground contractor support
- High-volume customer service or case management
Training will be provided to the right candidates.
Schedule and Work Arrangement
This is a full-time position requiring approximately 40 hours per week, Monday through Friday.
Because this role involves communicating with drivers, recruiters, clients, and First Advantage representatives, employees must be available to monitor cases and respond to processing needs throughout normal business hours.
This is a hybrid position that includes a combination of scheduled in-office and approved remote-work days. Initial training may require additional time in the office.
The hybrid schedule may be adjusted based on training progress, employee performance, department coverage, workload, and business needs.
