Overview
We are seeking a dynamic and detail-oriented Operations Administrative Assistant to join our team! General Description: Responsible for daily facilitation of necessary paperwork needed to maintain efficiency and production flow of work throughout the shop floor.
Duties and Responsibilities:
- Generate all paperwork (copy of the order, instructions, prints, traceability sheets, pallet labels, etc.) for the job packets to go to the production floor via email from Sales Services.
- Communicate to Sales Services if any necessary information is missing and update job packet before issuing it to the floor.
- Update issued production paperwork as communicated by Sales Services.
- Place newly generated job packets in their respective file boxes in the production area.
- Pickup completed job packets from the file boxes, check them to ensure all paperwork is completed correctly by the operators and deliver them to the Transportation Administrator.
- Record new jobs on job schedules
- Collecting and ensuring all shipping/receiving documents are filled out correctly before delivering them to the Transportation Administrator.
- Enter new jobs on the operations schedule after an estimated job completion time has been established.
- Be able to perform other office duties as required.
Skills:
- Must be able to maintain organization in a fast-paced environment
- Advanced user in Excel is a must
- Must be able to effectively communicate on multiple organizational levels
- Have strong MS Office background
- Basic reading and mathematical skills (addition, subtraction, multiplication, division)
- Good oral & written communication skills
- Good interpersonal skills and the ability to work well with others
Education/Experience:
High School Diploma or Equivalent
Expectations:
- Familiarity with all EKSP forms, documents, reports related to your job function, including but not limited to forms and reports related to inventory, logistics, & production/operations departments
- Maintain neat and accurate written production documentation as required
- Communicate all pertinent job related information to supervisor/manager on a daily basis
- Forward-thinking while learning from errors, with focus on quality and customer service, solutions and continual improvements
- Performs all duties as assigned
