Position Overview
We’re looking for a reliable, organized, and welcoming Administrative Specialist to serve as the first point of contact for our office. This part‑time position supports smooth daily operations by managing visitor access, assisting with meetings, coordinating travel details, handling shipping and receiving, and performing data entry to support general office functions. The position schedule is M-F, 8 am-2pm on site in our Cary, NC office.

Key Responsibilities:
- Welcome visitors professionally and ensure proper sign‑in and access procedures.
- Maintain neat, organized, and equipped common and meeting areas.
- Provide support to the Accounting team, including organizing customer payment information, assisting with vendor invoice tracking, and accounts payable.
- Coordinate meeting logistics, including refreshments when needed.
- Arranging travel and support itinerary organization and help confirm details for smooth travel.
- Manage incoming mail, packages, and deliveries.
- Process outgoing shipments and maintain organized mail workflows.
- Maintain accurate office records and support basic business needs.
- Assist with general office tasks such as filing, updating logs, and tracking operational items.
- Answer and route calls from the main company line.
- Support supply management and general office organization.
- Purchase office and kitchen supplies and keep both areas neat and stocked.
- Assist with vendor access and occasional facility service coordination.
Requirements:
- Strong attention to detail and comfort with entering and tracking information.
- Good communication skills, written and verbal.
- Proficiency with Microsoft Office (Outlook, Word, Excel).
- Ability to stay organized, multitask, and follow established procedures.
- Professional, friendly, and proactive approach to helping others.
- Ability to maintain confidentiality in a secure environment.
- On-site attendance, punctuality, and reliability.
- Ability to pass a background check.
- Comfortable interacting with visitors, vendors, and team members.
- Able to lift up to 25 lbs as needed (packages, supplies).
- Professional conduct and adherence to organizational values.
- Ability to obtain a Secret level U.S Government security clearance.
Pay: $18.00 - $24.00 per hour
