We're looking for a highly organized, proactive Executive Assistant who thrives in a fast-paced environment and enjoys supporting executive leadership while keeping the office running smoothly.
This position directly supports the Chief Executive Officer (CEO), Chief Development Officer (CDO), and General Manager (GM).
Position Summary
The Executive Assistant serves as the central point of coordination for executive leadership, managing calendars, communications, projects, meetings, and administrative operations while acting as the face of our corporate office. This role requires professionalism, discretion, exceptional organization, and the ability to anticipate the needs of leadership before they arise.
Primary ResponsibilitiesExecutive Support
- Manage calendars for the CEO, CDO, and GM.
- Schedule meetings, appointments, and company events.
- Coordinate travel arrangements, itineraries, and accommodations.
- Prepare reports, presentations, and executive documents.
- Track action items and ensure timely follow-up.
- Assist with confidential executive projects and initiatives.
Phone & Email Management
- Manage incoming phone calls, voicemails, text messages, and email communications for the CEO, CDO, and General Manager.
- Answer calls professionally, screen callers, and determine the appropriate course of action based on executive priorities.
- Take detailed and accurate messages, ensuring timely follow-up by the appropriate executive.
- Monitor and organize executive voicemail inboxes, ensuring no important messages are overlooked.
- Monitor and manage the email inboxes of the CEO, CDO, and General Manager, prioritizing urgent and time-sensitive communications.
- Draft, proofread, and send professional email responses on behalf of executive leadership when authorized.
- Flag important emails requiring executive attention and maintain organized inboxes.
- Create and track action items from phone calls, emails, voicemails, and text messages to ensure requests are completed.
- Maintain accurate records of executive communications, follow-ups, and outstanding tasks.
- Handle all communications with the highest level of professionalism, discretion, and confidentiality.
- Serve as the first point of contact for individuals seeking to reach executive leadership, ensuring inquiries are handled efficiently and professionally.
Front Desk & Office Administration
- Welcome owners, vendors, clients, applicants, and visitors.
- Maintain a professional and organized reception area.
- Order and maintain office supplies.
- Coordinate office equipment maintenance and vendor visits.
- Keep executive offices organized and presentation-ready.
Meeting & Calendar Management
- Coordinate executive meetings and company events.
- Prepare agendas and meeting materials.
- Set up conference rooms and virtual meetings.
- Take meeting notes and distribute action items.
- Resolve calendar conflicts and communicate schedule changes.
- Set reminders for deadlines, meetings, and priorities.
Project & Administrative Support
- Assist with company-wide initiatives and special projects.
- Conduct research and prepare executive summaries.
- Track project timelines and deadlines.
- Maintain organized electronic and paper filing systems.
- Prepare spreadsheets, reports, and presentations.
- Perform general administrative duties to support executive leadership.
Financial & Operational Support
- Assist with administrative financial tasks such as deposits, expense tracking, reconciliations, and documentation as assigned.
- Run office-related errands when needed.
- Support executive leadership with operational logistics.
Qualifications
- Previous Executive Assistant or Administrative Assistant experience preferred.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- High attention to detail.
- Ability to prioritize competing deadlines.
- Professional demeanor with exceptional customer service skills.
- Ability to handle confidential information with discretion.
- Proficiency with Google Workspace and AI.
- Comfortable learning new software and technology platforms.
