Position Overview
The Construction Coordinator supports Project Managers and Superintendents in the day-to-day coordination of commercial construction projects. This role ensures smooth communication between the office, field teams, subcontractors, and vendors while keeping project documentation, scheduling, and logistics organized and up to date.
This is a highly detail-oriented, fast-moving role ideal for someone who understands construction workflows and can keep multiple priorities aligned without things slipping through the cracks.
What You’ll Be Doing
Project Support & Coordination
- Assist Project Managers and Superintendents with daily project coordination
- Track project timelines, deliverables, and field progress updates
- Coordinate subcontractors, vendors, and deliveries
- Help resolve scheduling conflicts and site logistics issues
Documentation & Administration
- Maintain project files (contracts, submittals, RFIs, change orders, drawings)
- Track and log RFIs, submittals, and responses
- Assist in preparing change orders and project correspondence
- Ensure documentation is organized and up to date across all active jobs
Scheduling & Communication
- Support project scheduling updates and look-ahead planning
- Communicate updates between field and office teams
- Coordinate meetings, site walks, and inspections
- Follow up with subcontractors for timely responses and compliance
Procurement & Logistics
- Assist with material tracking and purchase order coordination
- Monitor delivery schedules and confirm site readiness
- Help ensure materials and equipment arrive on schedule
Project Controls
- Track budgets, commitments, and job cost updates with Project Manager
- Assist in reviewing subcontractor billing and invoices for accuracy
- Support closeout documentation at project completion
Pre-Construction
- Assist with bid solicitation, subcontractor outreach, and proposal tracking
- Support estimating efforts by organizing bid documents, drawings, specifications, and subcontractor pricing
- Coordinate permitting applications, project startup documentation, and pre-construction meeting logistics
Office Administration
- Maintain organized project and company records
- Assist with incoming calls, correspondence, filing, and general office operations
- Support invoice processing, vendor documentation, and administrative compliance requirements
Executive Assistant Support
- Manage calendars, meetings, and travel arrangements as needed
- Prepare reports, meeting agendas, and follow-up action items
- Assist executives with special projects, research, and company initiatives
What We’re Looking for
- 2–3+ years of experience in construction, project coordination, or related field
- Understanding of commercial construction processes preferred
- Strong organizational and communication skills
- Ability to manage multiple projects simultaneously
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with Procore, Bluebeam, or similar construction software is a plus
- Self-starter with strong attention to detail and follow-through

Pay: From $55,000.00 per year
