Position Summary
The Office Manager serves as the operational hub for a busy fence installation company while supporting the owner’s multiple business ventures operating from the same location. This position oversees administrative functions, customer service, scheduling, accounting support, warehouse tenant coordination, and office operations to ensure all businesses run efficiently and professionally.
The ideal candidate is highly organized, proactive, able to multitask in a fast-paced environment, and comfortable managing competing priorities across several businesses.
Key Responsibilities
Fence Company Operations
- Manage daily office operations for a high-volume fence installation business.
- Answer phones, respond to emails, and provide excellent customer service.
- Schedule estimates, installations, repairs, and service calls.
- Coordinate project schedules with crews, subcontractors, suppliers, and customers.
- Prepare contracts, proposals, invoices, permits, and project documentation.
- Track job progress and maintain accurate customer records.
- Assist with purchasing materials and coordinating deliveries.
- Follow up on leads, customer inquiries, and outstanding estimates.
- Handle customer concerns and facilitate problem resolution.
Accounting & Administrative Support
- Process accounts payable and accounts receivable.
- Assist with collections
- Assist with payroll preparation and employee records.
- Maintain organized filing systems and company records.
- Coordinate insurance certificates, licenses, permits, and compliance documentation.
Human Resources Support
- Assist with recruiting, onboarding, and employee paperwork.
- Maintain personnel files and compliance records.
- Coordinate training schedules and employee communications.
- Support safety documentation and workplace compliance initiatives.
Qualifications
Required
- 3+ years of office management, operations management, or administrative leadership experience.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
- Experience with QuickBooks or similar accounting software.
- Ability to prioritize tasks and work independently.
- Professional customer service skills.
Preferred
- Experience in construction, fencing, contracting, property management, or related industries.
- Knowledge of scheduling field crews and managing service operations.
- Experience with lease administration or commercial property management.
