Position Summary: We are seeking a detail-oriented and dependable HR/Payroll Coordinator to support day-to-day human resources and payroll operations. This role is responsible for maintaining accurate employee records, supporting benefits administration and compliance activities, processing weekly payroll, and serving as a knowledgeable resource for employees and management. The ideal candidate is highly organized, confidential, accurate, and comfortable balancing HR, payroll, benefits, and reporting responsibilities in a deadline-driven environment.
Schedule: Monday through Thursday, 8:00 AM to 5:00 PM, and Friday, 8:00 AM to 12:00 PM.
Key Responsibilities:
1. Maintain accurate and confidential employee records, including applications, resumes, tax forms, benefits documentation, and other employment-related information.
2. Process weekly payroll by collecting, entering, reviewing, and auditing payroll data to ensure timely and accurate payment in accordance with company policies and applicable federal and state laws.
3. Maintain payroll operations by following established policies and procedures, identifying needed updates, and helping resolve payroll discrepancies.
4. Administer health and welfare benefit plans, including new hire enrollments, annual open enrollment, changes, terminations, payroll deductions, and insurance provider documentation.
5. Reconcile benefit statements and complete payroll and benefits-related reconciliations.
6. Verify and maintain I-9 documentation and other required employment records.
7. Prepare, run, and maintain required HR and compliance reports, including EEO-1, VETS-4212, ACA, employee benefit information, applicant records, and annual employee notices.
8. Support leave administration, including Family and Medical Leave Act (FMLA), short-term disability, and long-term disability processes, in accordance with applicable laws and company policies.
9. Interpret and explain HR policies, procedures, standards, and applicable employment regulations to employees and managers.
10. Assist with job postings and recruitment coordination for field job vacancies.
11. Prepare and balance period-end payroll reports, reconcile issued payrolls, and process payments for payroll liabilities.
12. Maintain a high level of accuracy, confidentiality, organization, and professionalism while meeting deadlines and supporting business needs.
Qualifications and Experience:
1. Bachelor’s degree in Human Resources, Business, Management, Accounting, or a related field preferred; equivalent experience will be considered.
2. Experience with payroll processing, benefits administration, HR compliance, employee records, and employee relations preferred.
3. General knowledge of employment laws and HR practices, including leave administration, I-9 requirements, EEO reporting, ACA reporting, and benefits compliance.
4. Knowledge of prevailing wage and certified payroll is a plus.
5. Strong written and verbal communication skills with the ability to support employees, managers, and leadership professionally.
6. Excellent organizational, analytical, and time-management skills, with strong attention to detail and accuracy.
7. Proficiency with Microsoft Office, including Excel; Sage 300 experience preferred.
8. Ability to handle confidential information with discretion and work effectively in a fast-paced, deadline-driven environment.

Pay: $60,000.00 - $73,000.00 per year
