Job Overview
We are seeking a dedicated and detail-oriented Orthodontic Coordinator to join our dynamic dental team. The ideal candidate will possess strong organizational skills, exceptional patient service abilities, and comprehensive knowledge of orthodontic procedures and administrative processes. As an Orthodontic Coordinator, you will serve as a vital link between patients, clinical staff, ensuring smooth clinic operations and an outstanding patient experience. Your role will involve managing appointment scheduling, chair assisting, marketing, and maintaining accurate medical records while adhering to confidentiality policies.
Duties
- Coordinate patient appointments, scheduling, back office assisting, marketing.
- Assist patients with intake procedures, schedule patients @ check in and check out of appointments.
- Maintain detailed and organized dental records, ensuring accuracy in documentation review and adherence to clinical confidentiality policies.
- Provide exceptional patient service by addressing inquiries via multi-line phone systems with professional phone etiquette and timely follow-up.
- Support clinical staff with backup assisting duties, scheduling appointments efficiently, and managing electronic health records (EHR) management systems such as Dolphin and Orthofi.
- Ensure clinic compliance with healthcare regulations related to dental office management, health information management, and dental terminology standards.

Requirements
- Proven experience in dental or orthodontic office settings with familiarity in dental terminology and clinical procedures..
- Proficiency in dental or othodontic software- ie: Dolphin and Orthofi.
- Excellent organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.
- Exceptional communication skills for effective patient interaction and collaboration with clinical staff.
- Bilingual abilities are preferred to serve diverse patient populations effectively.
- Experience with dental administrative support tasks such as filing, data entry (including 10 key typing), appointment scheduling, and front desk operations.
- Knowledge of healthcare privacy policies including HIPAA compliance and clinical confidentiality standards.
- Familiarity with dental office experience or clinic experience is advantageous; previous roles involving dental records management or health information management are a plus.
