Job Summary
TitleSmart, Inc. is seeking a professional, reliable, and detail-oriented Front Desk Receptionist / Administrative Assistant to support our Edina, MN Branch location. This role combines the front desk customer service, office administration, and direct support for our closing team in a fast-paced real estate environment.
Key Responsibilities (including but not limited to):
- Manage multi-line phone systems with professionalism, answering inquiries and routing calls efficiently using proper phone etiquette
- Greet visitors warmly, direct them appropriately, and ensure a positive first impression of the organization
- Manage incoming/outgoing mail (USPS), UPS, FedEx and other courier services for branch
- Manage and control bi-weekly office and marketing supply ordering and stock levels
- Responsible for keeping front office, closing rooms, copy areas & kitchen neat, clean and orderly along with resetting the closing rooms once customers leave.
- Monitor the branches daily closing calendar with forecasting ahead for the following day/weeks closings and prepare with stock, office, marketing supplies.
- Maintain organized filing systems, perform data entry tasks, and ensure accurate record keeping
- Opening new transaction files and complete processing duties to the culmination of a successful settlement closing
- Providing miscellaneous office support where needed, and when applicable, throughout the company at all locations
Experience
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools
- Strong organizational skills and attention to detail, especially with data entry
- Demonstrated ability to manage multiple tasks efficiently with excellent time management skills
- Ability to work independently as well as with a team
- Title or Real Estate experience is helpful but not required
- Experience with phone etiquette, customer support, and handling multi-line phone systems preferred, but not required.
Physical Requirements
- Constantly required to sit, use hands to handle or feel, talk and hear
- Occasionally required to stoop, kneel, and crouch
- Occasionally required to lift and/or move up to 50 pounds
- Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus, and peripheral vision
Schedule
- In Office: Monday - Friday, 8:00AM - 5:00PM
- Overtime paid after 40 hours worked within work week

Pay: $20.00 - $22.00 per hour
