Role
As Procurement & Office Coordinator you are the operational backbone of the back office, working alongside the Office & Finance Manager to keep item entry, receiving, and order tracking accurate and current. You take the routine, detail-heavy work — entering sourced product data into the studio’s project system, logging deliveries, and tracking orders — off the senior team so they can focus on clients, pricing, and design.
Because this is a permanent position, the knowledge and rhythm you build stay with the studio rather than resetting each season. The role suits an organized, dependable person who takes pride in accuracy, consistency, and seeing a process through — and who values a stable, flexible schedule.
Responsibilities
ITEM ENTRY & RECORDS
- Item entry. Enter items and specifications — names, specs, links, and pricing — from the design boards into the studio’s project system, accurately and completely. This is the core of the role.
- Record integrity. Keep product records clean and consistent so they carry cleanly into ordering and invoicing without rework.
RECEIVING & TRACKING
- Receiving (non-furniture). Receive non-furniture deliveries at the PGD office, check them against orders, and log them. (The third-party receiver handles furniture.)
- Order tracking. Track order and product status across active projects; flag delays or discrepancies to the Office & Finance Manager promptly.
OFFICE SUPPORT
- Day-to-day administration. Support general office operations, supplies, filing, and records as directed by the Office & Finance Manager.
Scope: This role is strictly input and record-keeping. Ordering and payment stay with the Office & Finance Manager — and with the Client & Pricing Lead for custom orders.
Requirements
- Tech-savvy and quick to pick up new software
- Working knowledge of Canva
- Fluent in Microsoft Office, with strong Excel skills
- Highly organized, accurate, and detail-oriented
- Dependable, with the discipline to follow a process through consistently
Experience with our project system is not required — we’ll train the right person; the priority is accuracy and comfort with technology.
Key Performance Indicators
- Item entry completed accurately within the agreed turnaround after selection sign-off No missed tracking on active orders; delays surfaced promptly
- Deliveries received and logged same-day; discrepancies reported immediately
- Product records complete and audit-ready (names, specs, links, pricing)

Pay: $20.00 - $24.00 per hour
