We are seeking a highly motivated, dependable, and detail-oriented Certified Medical Assistant (CMA) to join our fast-paced behavioral health practice.
Position Summary
The Certified Medical Assistant will play a vital role in supporting psychiatric medication management services and specialty behavioral health treatments. This position requires strong organizational skills, excellent communication, the ability to multitask, and a willingness to work independently while collaborating with providers and administrative staff.
The ideal candidate is comfortable working in a fast-paced environment, managing multiple priorities, communicating directly with patients regarding medication-related concerns, and providing exceptional patient care while maintaining accuracy and professionalism.
Behavioral health experience is strongly preferred. Due to the specialized nature of psychiatric medication management, candidates with experience in psychiatry, addiction medicine, behavioral health, TMS, Spravato®, medication authorizations, or complex medication coordination are encouraged to apply.
Essential Duties and ResponsibilitiesClinical Responsibilities
- Obtain and document patient vital signs.
- Administer intramuscular and subcutaneous injections as ordered.
- Conduct patient screenings and rating scales (PHQ-9, GAD-7, ADHD screeners, COWS, CIWA, and other behavioral health assessments as needed).
- Assist providers during patient visits as needed.
- Prepare patient charts and ensure required documentation is completed.
- Monitor and document patient treatment progress.
- Maintain accurate and timely documentation within the electronic medical record.
Specialty Treatment Coordination
- Coordinate and administer Transcranial Magnetic Stimulation (TMS) treatments.
- Coordinate and monitor Spravato® treatment sessions in accordance with REMS requirements and clinic protocols.
- Ensure compliance with treatment documentation, safety monitoring, and patient education requirements.
- Order and manage inventory for specialty medications and treatments, including injectable medications and Spravato®.
- Track treatment schedules and coordinate follow-up care.
Medication Management & Patient Communication
- Serve as a primary point of contact for patients regarding medication refill requests.
- Communicate directly with patients regarding medication concerns, pharmacy issues, refill status, prior authorizations, insurance requirements, and provider recommendations.
- Review refill requests and route them appropriately according to provider instructions and clinic policy.
- Coordinate communication with pharmacies, specialty pharmacies, insurance companies, and medication manufacturers when necessary.
- Document all patient communications accurately within the electronic medical record.
- Maintain professionalism, compassion, and excellent customer service while managing a high volume of patient communication.
Administrative Responsibilities
- Process medication prior authorizations (PAs), appeals, and insurance-related documentation.
- Coordinate specialty medication orders and deliveries.
- Manage medication inventory and ordering.
- Assist with scheduling and coordination of specialty treatment services.
- Maintain compliance with clinic policies, procedures, and regulatory requirements.
- Assist the Practice Manager with clinic operations, projects, and other duties as assigned.
QualificationsRequired
- Current Certified Medical Assistant (CMA) certification.
- Current BLS certification.
- Strong computer skills and experience with electronic medical records.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality and professionalism.
- Ability to work independently, prioritize tasks, and adapt to changing priorities.
Preferred Qualifications
- Experience in psychiatry, behavioral health, addiction medicine, or medication management is strongly preferred.
- Experience processing medication prior authorizations, appeals, and insurance authorizations.
- Experience administering injectable medications.
- Experience coordinating specialty medications and specialty pharmacy orders.
- Experience with TMS, Spravato®, REMS programs, or other specialty behavioral health treatments is highly preferred.
- Familiarity with controlled substance prescribing requirements, refill workflows, and medication monitoring.
- Experience communicating directly with patients regarding medication refills, medication concerns, and treatment coordination.

Schedule
- Monday–Thursday: 8:00 AM – 5:00 PM
- Friday: 8:00 AM – 1:00 PM
Important Information
This position is not suitable for individuals seeking a primarily administrative role. The successful candidate must be comfortable with direct patient care, injections, specialty treatment administration, insurance authorizations, medication refill management, patient communication, and frequent task switching throughout the day.
The ideal candidate is proactive, organized, adaptable, and committed to providing exceptional care to patients receiving psychiatric medication management and specialty behavioral health services.
Pay: $15.00 - $17.00 per hour
