Job Description: Harrison County Office Assistant /Assistant Bookkeeper
RESPONSIBILITIES
Customer Service/Office Duties:
· Assists clients by phone, email, or walk-in.
· Maintain a positive working relationship with staff and clients in the county.
· Assists staff and specialists with program execution and day-to-day office function.
· May maintain high level of marketing and visibility for all programs including websites and social media channels.
· Oversee equipment and office supplies and inventory balances.
· Continually develop and enhance skills and learn current professional standards.
Bookkeeping/Data Management:
· Assist with managing 4-H related databases (4-H Online, Fair Entry, MyData).
· Manages confidential volunteer records and background screenings as required in risk management policies, leading to compliance.
· Understands General Accounting Practices and follows Fiscal Policy and Procedures.
· Initiates all accounting transactions.
o Write receipts in appropriate receipt book for money received.
o Make change for clients.
o Prepare documentation and deposit funds received.
o Receive and process payables/expenditures; and ensure checks mailed.
· Follow all financial retention policies for grants, revenue, expenditures, receivables and other required reports, including the internal control procedures.
Council:
· Attend and help with tasks as needed at the County Fair.
· Manages obtaining signatures by treasurer/designee; ensures checks and all financial documents are timely distributed to ensure documentation is audit ready.
· Provides monthly reports to staff, council treasurer and council members.
· Other duties as assigned.
QUALIFICATIONS
· High school degree or equivalent
· Bookkeeping or accounting experience
· Excellent customer services skills with strong written and oral communication skills
· Computer, organizational, detail oriented, and problem-solving skills
PREFERRED QUALIFICATIONS
· Associate or bachelor’s degree or two years of office management experience
· Professional office experience and Bookkeeping experience
