We are seeking a highly experienced, polished, and exceptionally resourceful Personal / Executive Assistant to provide comprehensive support to a busy executive in a fast-paced and dynamic environment.
This is not a traditional 9-to-5 administrative role. The ideal candidate is a seasoned assistant who understands the level of flexibility, discretion, responsiveness, and attention to detail required when supporting a highly active executive with demanding professional and personal commitments.
We are looking for someone who is equally comfortable managing a complex calendar and coordinating travel as they are running an errand, packing luggage, handling a last-minute request, or jumping on a plane when plans suddenly change. No task is too big or too small.
The right person will be proactive, calm under pressure, highly organized, discreet, and naturally inclined to anticipate needs before being asked.
Key Responsibilities
- Provide comprehensive executive and personal support, managing both professional and personal priorities
- Manage a complex and frequently changing calendar, including meetings, appointments, travel, events, and personal commitments
- Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, reservations, and last-minute changes
- Travel with the executive as needed, sometimes with limited advance notice
- Assist with packing and preparing luggage and other personal items for travel
- Run personal and professional errands and manage day-to-day requests
- Coordinate appointments, reservations, events, deliveries, vendors, and household or personal needs
- Maintain detailed travel itineraries and ensure all logistics are handled from beginning to end
- Anticipate scheduling conflicts, travel needs, deadlines, and other potential issues before they arise
- Handle confidential and sensitive personal and business information with exceptional discretion
- Communicate and coordinate with business associates, vendors, household contacts, family members, and other individuals as appropriate
- Assist with purchases, returns, gifts, shipping, reservations, and special projects
- Track outstanding items and ensure consistent follow-through without requiring reminders
- Help create organization and structure around a constantly evolving schedule and set of priorities
- Remain accessible and responsive when urgent needs arise outside of traditional business hours
- Handle additional administrative and personal responsibilities as needed

You don't believe certain tasks are "beneath" you, and you understand that exceptional support can mean managing an important business matter one moment and handling a very ordinary personal errand the next.
Ideal Qualifications
- Several years of demonstrated experience as a Personal Assistant, Executive Assistant, or similar high-level support professional
- Experience supporting an executive or principal with complex professional and personal demands strongly preferred
- Exceptional organizational and time-management skills
- Ability to anticipate needs and operate proactively with limited direction
- Excellent judgment and problem-solving abilities
- Strong written and verbal communication skills
- High degree of professionalism, maturity, and emotional intelligence
- Exceptional discretion and ability to maintain confidentiality
- Comfortable operating in a fast-paced environment where schedules and priorities can change quickly
- Able to remain composed and solutions-oriented when dealing with last-minute requests or unexpected changes
- Willing and able to perform hands-on personal tasks and errands
- Tech-savvy and comfortable learning new systems and applications
- Valid driver's license and reliable transportation
- Ability and willingness to travel domestically and potentially internationally
- Flexibility to work evenings and weekends when needed
- Ability to accommodate occasional last-minute schedule changes and travel
Schedule & Availability
This is a full-time position requiring a high degree of flexibility. While there will be a regular working schedule, the nature of the position requires availability outside of standard business hours.
Candidates should be comfortable with occasional evenings, weekends, travel, and last-minute changes. This does not mean being "on" every hour of every day, but it does require someone who understands that executive and personal support needs do not always occur within traditional office hours.
