Duties include complex data analysis, prepare correspondence and reports, general clerical support, scheduling appointments/meetings and assisting with project based work. Promptly and efficiently direct all parental and student concerns to the appropriate office(s). Project a professional and positive company image through in-person and phone interaction with all stakeholders.DUTIES AND RESPONSIBILITIES: Provide office and clerical support for Head of School and other campus Administrators & Coordinators, schedule appointments; arrange meetings and conferences as necessaryCreate and distribute documents and other communications with Microsoft Office, Google, and social media sources.Maintain hard copy and electronic filing systemManage school master calendar and make sure it is up to date for websiteAssist in the maintenance of student records, and other confidential informationCreate and maintain a variety of documents, records, files, manuals, and other material, often containing confidential material.
Collect information, compose and create correspondence and reports; compile and formatDesign spreadsheets and databases; prepare, process and distributes a variety of materialsPerform special projects when requestedAssist with various data entry such as for enrollment or attendance (during peak seasons)Provide customer service to all stakeholders including staff, students, parents, administrators, subs, and other community membersPlace and screen telephone calls for supervisors; relay information and keep school staff informed of mattersAssist with special events such as graduation, training, back to school, staff appreciation, etc.Assist with Principal (school) activity fund to help raise funds to support campus staff appreciation and other initiativesReceive, count, & verify money for various activities (as needed for dual control) and assist to prepare depositsAssist staff with paperwork and proceduresReview paperwork to be complete before sending to supervisor for approvalKeep spreadsheet of collections owed and send letters concerning fines owed for obligationsReview time cards and prepare for supervisor to approveFollow-up with staff on absences and notes or required documentationAssist with gathering various payroll forms that are required to be submitted regularly (missed punch form, extra duty/OT, etc.) Manage the substitute process, including scheduling substitutes, maintain substitute sign in/out sheets and sub board and submit to payroll regularly, assist with substitute verification records for payroll to then review and processAssist the receptionist staff to ensure a smooth front office experienceResearch and help with quotes for purchases as neededAssist with benchmark and testing material ordersAssist with sub application screening and hiringPerform other duties as assignedWORKING CONDITIONS: Mental & Physical Demands / Environmental Factors: Normal for an office environment.Ability to communicate effectively (verbal and written)Ability to operate computer and other office machinesRepetitive hand motionsProlonged use of computer terminalWork with interruptionsMust be able to lift up to 20 lbsKNOWLEDGE, SKILLS AND EXPERIENCES REQUIRED: Knowledge of: Proficient skills in typing, computer (to include major word processing, database, spreadsheets in Excel and Google and integrated software programs), file maintenance and other office machines.Proficiency in using social media and web communications strongly preferred. Basic reading, writing, and arithmetic skills required. Knowledge of Microsoft Office and telephone protocol.Duties require professional verbal and written communication skills, and the ability to positively interact with students (K-12) is critical.Effective organizational, communication, and interpersonal skillsAbility to meet established deadlinesExperience: Three to five years of administrative/data entry experience preferably in a public education environmentEducation: High school diploma or GED, some college preferred.
