Pro-Art is hiring a production manager to coordinate the organization and communications required to produce its annual season of arts presentations in Wise, Lee and Dickenson Counties. The position requires the focused ability to autonomously organize and prioritize multiple, complex tasks on strict schedules. It requires strong communication and interpersonal skills in coordinating the varied interests and demands of the various parties involved in touring production and presenting.
The position is primarily based in Pro-Art’s office, during regular business hours (80%) and at the venues at which it presents programs in the evenings, on weekends and at schools(20%). This is a part-time, 12-20 hour a week, two-year term position with the possibility (and intention) of renewal, dependent upon funding and the autonomy and work ethic of the person in the position. The pay is $18/hour.
Qualifications
- Professionally driven and focused with the ability to work autonomously and predictively as a part of a dynamic team on schedule-driven projects.
- Demonstrated organizational skills and experience prioritizing multiple complex tasks concurrently and completing work on deadlines.
- Strong verbal and written communication skills.
- Mature understanding of public relations, customer service and teamwork.
- Driver’s license and reliable transportation.
- Knowledge of/familiarity with Notion, Quickbooks, M.S. Office, and Adobe Creative Suite apps strongly preferred.
- A Bachelor’s Degree and a demonstrated interest in the arts is preferred, but this job can be done as a paid internship by a student able to manage the responsibilities of the work and school concurrently or someone with equivalent professional organizational experience.
Position Responsibilities
A. Program Administration
- Manage and assure necessary communications between all parties involved in Pro-Art programming to assure needs are met and objectives realized, professionally, on-time, within a series of complex deadlines.
- Schedule, facilitate, and organize the logistics of programming to assure the needs and goals of all parties involved, professionally, on-time, within a series of complex deadlines. Includes: facilities scheduling, equipment rental, procurement, reservations, hiring/scheduling contracted labor and services.
- Document, maintain records of and complete reporting on program-related provisions, activities and outcomes. This generally includes: Schedules, Communications, Contracts, Technical Riders, Organizational Materials, Budgets, Funding, Accounting, Audience Programs, Promotions, mailings, Audience demographics, contracts, etc.
B. Assisting with Onsite Venue Responsibilities: Front of House & Hospitality
- Representing Pro-Art’s interests by contributing to the audience experience at Pro-Art programs to assure a smooth and professional presentation.
- Coordinating and expediting on-site hospitality for show staff and performers.
C. General Office Assistance: Communications and Organization
- Assist with marketing and publicity as needed, including the administration and distribution of promotional materials.
- Manage light reception needs at the Pro-Art office.
- Assist in the maintenance of office files, data entry, receipts and financial documentation, donor communications as well as documentation of programming activity.
- Communicate openly with the Executive Director and other colleagues about problems, concerns, improvements, etc.
- Assist with the general administrative operations of Pro-Art.
