The Recruiting Coordinator fully owns the hiring process: from opening requisitions, moving candidates thorough the recruitment process, to onboarding new hires. This position is the hub of our recruiting operations and will be an integral part of the candidate experience. Works closely with the Recruitment team, hiring managers, and candidates in a high-volume environment. Due to the nature of critical and sensitive information, records, and reports this position handles, these tasks are completed while maintaining high standards of confidentiality.
Responsibilities:
· Manage the requisition process, ensuring all required approvals and documentation are received and accurate before proceeding with recruitment. Maintain job description and recruiting templates in the Applicant Tracking System (ATS) and resolve any issues with hiring managers and department heads.
· Audit requisitions using data and budget metrics to ensure alignment with approved headcount. Approve or deny requisitions based on these metrics and work with the Director of Talent Management and Director of Human Resources to address any compliance issues.
· Process offer letters for prospective employees, ensuring appropriate language based on position, department, and pay bands. Obtain necessary approvals and ensure timely receipt and upload of signed offer letters in the ATS.
· Manage the background and reference check process for prospective employees, acting as the main point of contact between candidates and third-party vendors. Monitor progress, troubleshoot issues, and maintain a background check log for consistency.
· Coordinate with recruiters to ensure candidates granted an interview complete an employment application. Oversee the onboarding and scheduling of new hires.
· Track and manage approvals for temporary employees placed by staffing agencies and approve temporary agency invoices.
· Create and provide weekly and ad-hoc reports on open positions and other recruitment metrics. Represent the company at job fairs, recruiting events, and open houses as needed.
Requirements:
· High School Diploma or GED equivalent required.
· Bachelor’s degree in Human Resources, HRMS, Business Administration, or a related field preferred.
· Minimum five years of experience in human resources and recruiting/staffing.
· Knowledge of state and federal employment laws related to key responsibilities.
· Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) required.
· Familiarity with Applicant Tracking Systems and background service vendors preferred.
· Excellent verbal and written communication, planning, and organizational skills.
· Strong problem-solving skills, high attention to detail, and ability to multitask.
· Capability to maintain confidentiality at all times.
· Discretion and independent judgment in decision-making.
· Ability to work effectively in a team environment.
· Flexibility and adaptability to a changing environment.
· Physical capability to lift and carry 20 pounds.
Pay: $25.00 per hour
