Position Overview
We are seeking an organized, detail-oriented, and welcoming professional to join our team in a dual role as an Accounts Payable & Reception Specialist. This part-time position is ideal for someone who thrives on variety—balancing the focused, analytical task of processing financial data with the dynamic, people-oriented role of managing our front reception desk.
As the first point of contact for our office, you will set a professional, positive tone for clients and visitors, while providing critical administrative back-end support to our accounting department.
Key ResponsibilitiesAccounts Payable (AP) Support
- Data Entry: Accurately enter high-volume vendor invoices, receipts, and expense reports into the accounting system.
- Invoice Verification: Review and match invoices against purchase orders, delivery receipts, or internal approvals to ensure accuracy before processing.
- Vendor Relations: Assist with basic vendor inquiries regarding payment status, statement reconciliation, and missing documentation.
- Filing & Archiving: Maintain digital and physical financial records with high confidentiality and organized compliance.
Front Desk & Reception
- Visitor Hospitality: Greet and welcome clients, vendors, and guests warmly, ensuring they are directed to the correct person or meeting room.
- Mail & Deliveries: Sort and distribute daily incoming mail, packages, and couriers; prepare outgoing mail and shipments.
- Office Presentation: Keep the reception area, main conference room, and front lobby tidy, welcoming, and professional throughout your shift.
Qualifications
- Experience: Previous experience in a front desk, receptionist, or administrative role is required. Prior experience with basic data entry, bookkeeping, or Accounts Payable is highly preferred.
- Software Skills: Proficiency with standard office software (Microsoft Office/Google Workspace) and ability to learn our accounting software, experience in Viewpoint Spectrum will be favored.
- Attention to Detail: High level of accuracy in data entry and a knack for spotting discrepancies in numbers and invoices.
- Communication Skills: Professional, warm, and clear verbal communication skills for phone and in-person interactions.
- Reliability: Dependable attendance and punctuality are essential to ensure front desk coverage during scheduled hours.
Pay: $24.00 per hour
