A Brief Overview
The Building & Facilities Specialist is responsible for the day-to-day operational condition, maintenance, and continuity of assigned building(s). This role serves as the primary point of contact for facilities-related matters at the assigned property, ensuring that preventive and corrective maintenance activities are executed timely, facilities are safe, compliant, and fully operational, and issues are detected and addressed proactively.
The role focuses on building ownership, coordination of maintenance activities, vendor oversight, inspections, and documentation, while supporting facilities projects as required in coordination with the Building & Facilities Manager.
What you’ll do
A. Building Ownership & Operational Oversight
- Assume full operational responsibility for assigned building(s), acting as the on-site facilities focal point.
- Conduct regular physical inspections and walkthroughs to detect maintenance needs, safety risks, and operational deficiencies.
- Identify, document, and escalate risks that may impact building operations, safety, customer experience, or regulatory compliance.
- Ensure facilities meet bank standards related to safety, appearance, functionality, and service continuity.
B. Preventive & Corrective Maintenance Coordination
- Coordinate and monitor execution of preventive maintenance programs (e.g., HVAC, generators, electrical, plumbing, elevators, life safety systems).
- Respond to and follow up on corrective/detective maintenance issues, ensuring timely resolution.
- Track and verify completion of work orders and service requests, confirming quality and adherence to scope.
- Escalate recurring issues or system failures to management with recommended actions.
C. Vendor & Contractor Management
- Coordinate day-to-day activities of vendors and contractors assigned to the building.
- Request and review quotes for maintenance-related services within assigned authority.
- Monitor vendor performance, service quality, timeliness and compliance with bank policies.
- Maintain effective working relationships with service providers to ensure reliable service delivery.
D. Documentation, Compliance & Reporting
- Maintain accurate records of inspections, maintenance activities, service reports, invoices, and corrective actions.
- Ensure documentation supports internal controls, audits, and regulatory reviews.
- Provide regular updates to the Building & Facilities Manager regarding building conditions, pending issues, and maintenance status.
- Follow all Bank policies, facilities standards, engineering guidelines, and safety requirements.
E. Support to Facilities Projects (as applicable)
- Support facilities-related projects (renovations, upgrades, repairs) for the assigned building(s).
- Assist with site coordination, contractor access, documentation, and progress tracking.
- Provide operational input to ensure projects align with building needs and ongoing operations.
Additional Responsibilities
- Participate in special facilities initiatives or projects as requested.
- Support continuous improvement initiatives related to facilities operations and maintenance processes.
- Requires availability to move between buildings to support on-site operations, meetings, and oversight.
What You’ll Need to Succeed
- Bachelor’s degree in Engineering, Facilities Management, or related field or equivalent experience
- Three (3) to six (6) years of experience in building operations, facilities maintenance, or property coordination
- Experience coordinating vendors and maintenance services in occupied facilities
Competencies
- Strong organizational and coordination skills
- Effective verbal and written communication (English and Spanish)
- Attention to detail and proactive problem identification
- Ability to manage multiple priorities in an operational environment
- Team-oriented with strong follow-up and accountability
- Basic computer proficiency (MS Office); familiarity with AutoCAD is a plus
